This role runs the global operating rhythm for data center community grants and investment programs. Serving as the day-to-day operational backbone behind programs across 33 data center communities, this role manages the calendar, vendor coordination, compliance documentation, and budget tracking to ensure regional teams deliver locally with consistent global quality. Strategy and approval authority sit with full-time program owners; this role makes the operational machine run.
It is primarily a delivery-and-systems role, while also serving as a community-facing liaison as needed. Success looks like programs launching on time in every market, a grant cycle where no site is an exception, approval submissions clearing the first time due to rigorous paperwork, and leadership having clean, real-time data to guide funding decisions for upcoming cycles.
Grant Cycle & Pipeline Management: Track each out-of-cycle grant submission through its multi-stage processing path, proactively flagging status updates and approaching deadlines to regional managers and external vendors.
Global Calendar Oversight: Maintain the master grant cycle calendar and hold all sites to the global notification and communication timeline.
Reviewer & Scoring Materials: Prepare and circulate reviewer training and scoring materials, collating scoring returns for global consistency checks.
Vendor Coordination: Partner with external grants vendors on application status, payout tracking, and cycle readiness.
Budget & Spend Administration: Maintain budget trackers for community investment and branded items spend, reconciling against approved allocations and chasing missing documentation.
Procurement & Compliance: Prepare purchase requisitions and contract paperwork for review and final approval by program leads.
Leadership Communications: Assemble recurring leadership memos, team meeting agendas, and event trackers.
Program Reporting & Analytics: Compile program data and prepare reporting packs (covering participation, spend, and outcomes) for leadership review and presentations.
Event & Ceremony Logistics: Coordinate ceremony logistics with local vendors, community engagement managers, and communications teams (including merchandise, plaques, invitations, and run-of-show logistics).
Data & System Maintenance: Log program and stakeholder data into tracking platforms, maintaining up-to-date system records.
10+ Years of Experience: Demonstrated track record of multi-site program coordination within large corporate/enterprise environments (running repeating cycles to a fixed calendar across many locations while balancing global standards with local exceptions).
Budget & Procurement Administration: Direct experience tracking spend against allocations, managing purchase requisitions, and handling compliance documentation across cross-functional teams (Legal, Finance, Communications).
Documentation & Written Communication: Strong, leadership-legible written output with disciplined follow-through across cross-functional groups.
Education & Certifications:
Bachelor’s Degree required.
Project Management certification (PMP) or Event Management certification required.
Background in grants administration, community investment, or corporate philanthropy.
Experience applying AI tooling to program data, reporting, and analysis.
Experience with CRM and program-tracking platforms (Salesforce or similar).
