Business Title: Workplace Administrator
Location: Portland, OR
Contract to Hire
Working hours 7-4pm
What is this position about?
This is a highly visible, hands-on role at the center of the workplace, helping keep the office running and looking for ways to make it better. You’ll support a broad mix of workplace needs—from employee and visitor experience to meetings, events, workplace readiness, and day-to-day problem solving. We’re looking for someone who is energetic, resourceful, and proactive: a person who stays engaged, notices what needs attention before being asked, takes ownership of issues through resolution, and brings forward ideas that make the office more engaging, efficient, and simply a great place to be.
What will you do?
Front Desk & Workplace Operations:
• Be a visible, approachable presence at the front of the office and a go-to resource for employees, visitors, and vendors.
• Coordinate visitor access, badges, and security procedures in partnership with onsite and remote security teams.
• Own day-to-day workplace requests, tickets, and follow-up, helping ensure issues are resolved quickly and the office stays ready, organized, and running smoothly.
• Maintain consistent visitor and access procedures, including accurate visitor logs and badge distribution.
• Bring energy and ideas to the workplace—spot opportunities, suggest improvements, and help turn ideas into action that make the office more connected, engaging, and enjoyable.
Employee Experience & Engagement:
• Plan and execute site activities, events, and engagement programs that create energy and bring people together.
• Manage weekly site meals for 100+ attendees, including ordering, logistics, and budget tracking
• Create and distribute site communications (announcements, event promotions, updates)
• Build community across the office by driving participation, creating moments of connection, and finding new ways to make the workplace feel active and engaging.
Meetings & Event Support:
• Provide concierge-level support for meetings and events, including executive and high-visibility sessions
• Set up and reset rooms and furniture, coordinate layout changes, and ensure readiness of spaces
• Partner with Workplace and AV teams to support successful event execution
Administration & Reporting:
• Support purchasing activities, including P-Card transactions, invoice tracking, and expense reconciliation
• Track and report on site metrics (headcount, events, tickets, and usage)
• Maintain and update internal tools and platforms (SharePoint, internal pages, etc.)
• Use Microsoft Office and workplace systems to manage communication and coordination
Safety & Emergency Support:
• Act as a point of contact during onsite incidents or emergencies
• Partner with Workplace and Security teams to support safety protocols and response coordination
Who are you?
• You are passionate about creating unique engagement activities and fostering a sense of community and belonging.
• Customer service oriented – cheerful, energetic, courteous, and professional.
• You’re a roll-up-your-sleeves kind of person—comfortable tackling practical workplace needs, setting up furniture, troubleshooting minor issues, and figuring out how to get things done.
• Organized and able to communicate effectively.
• You are proactive and bring a growth mindset and continuous improvement approach
