Own and operate a single, unified FSO Front Door end to end: the one intake point for all incoming requests, initiative submissions, and cross-functional asks across FSO.
Drive alignment across FSO's sub-functions to consolidate separate, fragmented intake processes into the unified Front Door, building trust and demonstrating value, since this work is driven through influence rather than formal authority.
Triage and qualify every inbound submission, flag duplicates and gaps, and package qualified, well scoped submissions for hand-off to the Planning function, serving as the primary feed into planning without owning prioritization or the roadmap.
Define and maintain intake standards, SLAs, and qualification criteria so the Front Door consistently produces clean, decision ready submissions rather than raw, unscoped requests.
Own FSO's outbound submission process into other front doors across the business: submit, track, and follow through on FSO's asks from request through resolution.
Serve as FSO's primary point of contact and relationship owner with the external teams FSO regularly depends on, representing FSO's interests and maintaining those relationships over time, not just the paperwork.
Track status and commitments on every outbound ask, escalate stalled requests, and maintain a clear, current view for FSO leadership of what has been asked, of whom, and where it stands.
Build and maintain reporting on intake volume, request types, turnaround time, and bottlenecks across the unified Front Door, giving leadership pattern level visibility into demand on FSO.
Continuously improve the Front Door operating model itself: identify friction points in how work enters and exits FSO, and evolve the process as FSO's footprint and cross-functional surface area grows.
Skills & Your Expertise:
6-8+ years of experience in program management, business operations, or a highly cross-functional intake or operations role.
Demonstrated ability to build alignment and drive process change across other parts of FSO without formal authority, relying on trust, credibility, and clear value delivery rather than mandate.
Hands-on experience building and maintaining intake, triage, or workflow systems in Airtable, Asana, Jira, or similar tools; comfort with multi-level tracking, field logic, and reporting views is a strong plus.
Strong analytical skills with the ability to work with volume, throughput, and SLA data to surface bottlenecks, patterns, and process gaps.
Proven ability to manage complex, multi-phase workstreams with competing deadlines and multiple stakeholder groups.
Strong proficiency with Google Suite (Docs, Sheets, Slides), including comfort with templates and lightweight automation.
Excellent written and verbal communication skills, with the ability to distill complex, high volume inputs into clear, action-oriented artifacts and exec-ready materials.
Track record of operating in fast-moving, cross-functional environments where proactive communication and disciplined follow-through are non-negotiable, even without direct authority over the people you depend on.
Highly organized self-starter with a strong bias toward documentation, structured process, and context preservation across a high volume of concurrent requests.
Education:
Bachelor's degree in a relevant field or equivalent work experience.
