Job Summary
The Partner Program team is looking for a detail-oriented, highly organized Contract Program Coordinator to support our partner ecosystem. This role will focus primarily on generating accurate, timely invoices for partners enrolled in the program, while also supporting partners digitally and helping with core program operations.
You will collaborate closely with partner managers, operations, finance, legal, and partner teams to ensure partners are billed correctly and supported efficiently. This is an ideal role for someone with strong operational rigor, comfort working with data and systems, and experience supporting programs or customers in a SaaS or B2B context.
Key Responsibilities
Invoice Generation and Financial Operations
- Own end-to-end invoice generation for partners, including data collection, validation, calculation, and invoice creation.
- Work with finance and partner operations teams to ensure invoices are accurate, compliant with contract terms, and issued on time.
- Track invoice status, monitor payments, and follow up on discrepancies or issues in partnership with finance and program leadership.
- Maintain clear documentation of invoicing processes, partner billing profiles, and change history.
Digital Partner Support
- Serve as a first-line point of contact for partners on operational questions related to billing, program guidelines, and standard processes (via email, tickets, or other digital channels).
- Triage partner issues, respond with high-quality, professional communication, and escalate to the appropriate internal teams when needed.
- Create and maintain FAQs, how-to guides, and lightweight self-service resources to reduce friction for partners.
Program Operations, Reporting, and Coordination
- Support day-to-day program operations, including organizing meetings, scheduling partner touchpoints, and tracking deadlines and deliverables.
- Build and maintain partner rosters, status trackers, and dashboards using spreadsheets and/or business tools (e.g., CRM or analytics tools).
- Support program-related reporting, including regular partner metrics, invoicing summaries, pipeline views, and operational KPIs.
- Help prepare program materials (slides, summaries, updates) for internal stakeholders and leadership reviews.
Partner Onboarding and Lifecycle Support
- Support the onboarding of new partners, including coordinating intake information, collecting required documentation, and setting up system access.
- Ensure new partners understand program expectations, operational processes, and timelines.
- Help refine and improve onboarding workflows, checklists, and templates to drive consistency and scalability across partners.
Continuous Improvement and Collaboration
- Identify opportunities to streamline invoicing workflows, partner communications, and program operations.
- Collaborate with program managers to improve data quality, reporting accuracy, and partner experience.
- Contribute feedback on tools, systems, and documentation to support a growing partner program.
Required Experience and Qualifications
- 3–5+ years of experience in program coordination, revenue operations, business operations, partner operations, customer success, or a similar role in a SaaS, technology, or B2B environment.
- Hands-on experience generating or supporting invoices, billing operations, or contract-driven financial workflows (e.g., pricing tiers, usage-based fees, or partner revenue sharing).
- Strong proficiency with spreadsheets (Excel or Google Sheets), including comfort working with formulas, data validation, and basic reporting.
- Experience working with business systems such as CRMs, ticketing systems, billing tools, or ERP/HCM platforms.
- Demonstrated ability to manage multiple tasks and stakeholders, prioritize effectively, and consistently meet deadlines with a high degree of accuracy.
- Excellent written and verbal communication skills, with experience supporting external partners or customers digitally (email, help desk, chat, etc.).
- High attention to detail and strong organizational skills; able to maintain clean documentation and accurate records.
- Comfortable working in a fast-paced, changing environment and collaborating across finance, legal, sales, and product/program teams.
Preferred Qualifications
- Experience working with or supporting an ISV, partner, marketplace, or ecosystem program.
- Familiarity with enterprise SaaS platforms, particularly in finance, billing, or HCM contexts.
- Prior experience building or maintaining simple dashboards or reports (e.g., using BI tools, CRM reports, or advanced spreadsheets).
- Process-oriented mindset, with experience documenting and improving operational workflows.
- Experience onboarding external partners or customers into structured programs or platforms.
