Job Title: Operations Officer II
Duration- 6 months
Shift Timings - Monday to Friday | 8:00 AM – 4:00 PM
Work Location - Markham, Ontario (Onsite – 5 days a week)

Job Summary
The Operations Officer will provide a high level of administrative support to internal partners by ensuring all insurance policies received are processed accurately and reflect customer intentions. This role is responsible for managing daily operational tasks, handling customer requests received through fax and mail, and resolving customer issues when required. The position involves processing cheque payments, handling premium billing issues or errors, filing, processing daily reversals/rejects from PAC and Visa transactions, assisting with claim issues, and completing cancellation requests. This is a high-volume back-office role requiring strong attention to detail, accuracy, and the ability to manage shifting priorities.
 
Roles & Responsibilities
  • Sort, count, scan, and upload incoming mail into internal systems.
  • Process return mail and manage related system updates.
  • Ensure all insurance policies are processed accurately and in accordance with customer instructions.
  • Handle customer requests received through fax and mail.
  • Post cheque payments and resolve premium billing issues or errors.
  • Process daily reversals and rejects from PAC and Visa transactions.
  • Assist with claim-related issues and complete policy cancellation requests.
  • Maintain accurate filing and documentation of all processed items.
  • Follow established procedures and deadlines while managing high volumes of work.
  • Investigate issues, analyze situations, and make appropriate recommendations when needed.
  • Participate in daily team meetings and collaborate effectively with team members.
  • Maintain confidentiality and appropriately handle customer data.
 
Must-Have Skills
  • 2–4 years of relevant work experience.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Strong commitment to enhancing customer experience.
  • Ability to handle high volumes of work while adhering to established deadlines.
  • Ability to adjust to shifting priorities and changes in procedures.
  • Self-motivated, goal-oriented, and eager to learn.
  • Good investigative, analytical, and problem-solving skills.
  • Comfortable using computers and learning new systems quickly.
  • Proficiency in Microsoft Office and Outlook.
  • Quick learner with the ability to follow instructions effectively.
 
Nice-to-Have Skills
  • Prior insurance industry experience.
  • Knowledge of insurance systems such as CSC or Policy Admin.
 
Additional Requirements
  • Post-secondary education preferred.
  • Ability to work onsite 5 days a week.
  • Strong team player with the ability to build good working relationships.
  • Ability to perform in a 100% back-office environment.
  • Comfortable handling confidential customer data.
  • Performance will be measured based on quality of work, deliverables, teamwork, and ability to follow instructions effectively.
