Title: Administrative Assistant II
Duration: 18 Months
Location: Kelowna, British Columbia, Canada
Schedule: Onsite (5 days/week)
Conversion: Possible (based on strong performance)

Provide administrative and operational support within a client-focused wealth management environment. Support branch operations and management team in a fast-paced, dynamic settings. Deliver high-quality service and professionalism in all client and internal interactions .Work closely with the Manager of Client Service and branch team
Roles and Responsibilities:

Description:
Provide administrative and operational support within a client-focused wealth management environment. Support branch operations and management team in a fast-paced, dynamic settings. Deliver high-quality service and professionalism in all client and internal interactions .Work closely with the Manager of Client Service and branch team
Roles and Responsibilities:
- Provide high-level administrative support to the branch.
- Support Manager Client Service (MCS) with day-to-day operations and administration
- Assist with communication and implementation of operational, administrative, and compliance activities.
- Develop and maintain knowledge of branch processes
- Coordinate system access, equipment needs, and IT support
- Assist with training support for branch staff where required
- Handle premises-related matters (building issues, displays, seasonal setups)
- Maintain and improve branch filing systems
- Ensure compliance with audit procedures and communicate updates to staff
- Support branch initiatives and suggest improvements aligned with organizational goals
- Identify opportunities to reduce expenditures and improve efficiency
- Maintain and update Business Continuity Management (BCM) plans
- Support client-related requests and overall client experience
- Perform additional administrative duties as assigned
- Ability to work independently and as part of a team
- Strong communication skills
- Excellent customer service and problem resolution skills
- Detail-oriented and highly organized
- Ability to work in a fast-paced, dynamic environment
- Proficiency in MS Office Suite (Excel, Word, PowerPoint, Outlook)
- Tech-savvy with ability to learn new systems
- Adaptable, professional, flexible, and quick learner, Comfortable working in ambiguity and fast-paced environments.
- 1–2 years of administrative experience
- Undergraduate degree or community college diploma in Business (preferred)
- Industry-related courses (completed or in progress)
- Experience working with high-net-worth clients (preferred)
- Greeting guests
- Setting up boardrooms
- Working with Excel spreadsheets
- Submitting invoices
- Reading and following compliance manuals
- Demonstrates initiative, resourcefulness, and problem-solving ability.
