Job Title: Fleet Management Manager
Location: Plainsboro, NJ 08536
Duration: 2 Years (Possibility of extension depending upon business requirements and performance)
Shift: Full-time, starting at 9:00am
 
Note:
  • Remote okay but onsite preferred (remote MUST be a commutable distance to office)
  • Fleet of approximately 3000 vehicles, sales, educators, executives, global long-term assignments.
 
Top Must Haves:
  • Business/Fleet Management Experience Managed fleets, worked with suppliers (Management skill with the suppliers).
  • Excellent Organizational Skills (communications, follow ups, etc.).
  • Worked with pharmaceutical company that has 5-7 years’ experience and has managed a large fleet.
  • Safety and risk program.
  • Experience with company expansions, experience with programs (charging capability and EV).
  • Knowledgeable with car manufacturers.
  • Familiar with negotiating.
  • Experience with managing financials, budgets and reporting.
  • Worked independently, but not afraid to ask questions.
 
Purpose:
The Fleet Management Manager
  • Responsible for day-to-day task management and coordination of Fleet activities.
  • Operations Services for organization fleet programs among other current/future sites in North America and ensures vendor and employee compliance.
  • Coordinates the implementation and compliance of fleet policies with all fleet users, suppliers, systems, and tools.
  • Under the supervision of the Sr Manager and Director - Fleet Management, the Fleet Management Manager executes fleet strategy and implements fleet programs that support fleet needs for the company.
  • The Fleet associate will also assist in audits quarterly and annually.
 
Relationships:
  • Reports into the Sr Manager – Fleet Management and assists in maintaining high value relationships with all key stakeholders both internal and external to ensure strategies are executed to meet organization vision, goals, and objectives to achieve superior business results and program compliance.
  • Back-up point of contact for organization internal and external communications related to the fleet program.
  • Interacts with many levels of organization personnel and departments on an ongoing basis to ensure business needs are met and future needs are anticipated.
 
Essential Functions:
  • Analyzes data, trends, benchmarks and best practices and reports findings to Sr Manager – Fleet Management.
  • Performs audits as assigned on data and processes.
  • Assist with developing and delivering appropriate communications and training strategies for Field Employees and other authorized drivers including long term assignment affiliate employees with fleet vehicles and affiliate location pool.
 
Fleet Management:
  • Monitors all facets of Fleet Management i.e., Safety, Driver Tax Compliance, Fuel, Sustainability, etc. and ensures outstanding, ongoing support is provided to drivers (from both internal and external resources) with any and all vehicle related issues.
  • Maintains all fleet policies and advises field employees and executive team of changes.
  • Provides compliance reporting to management.
  • Researches, analyzes, and identifies process efficiency opportunities, and then implements new programs.
  • Communicates to stakeholders to ensure alignment regarding all new initiatives with business objectives.
  • Assists with implementing new Fleet programs
  • Audit fleet inventory, research and provide solutions for insurance issues, fleet maintenance decisions, annual replacement activities, and monthly invoice reconciliation.
  • Review and validate various fleet software systems and ensure they are maintained and updated as needed and data from those systems is accurate and timely.
  • Measures and monitors KPIs on Fleet performance, programs such as Fleet safety and TCO strategies, and measures driver satisfaction.
 
Fleet Safety Management:
  • Assists with the management of new driver safety program.
  • Performs benchmarking, assesses new services and technology for safety and crash prevention.
  • Assists creating processes and new safety programs with periodically assessing effectiveness of programs and adjusting strategy as needed.
  • Partners to create and execute Fleet training.
 
Investigation Management:
  • Provides documentation on accident and vehicle information available when requested.
  • Ensures all records are maintained in accordance with company policy.
 
Supplier Management:
  • Assists in the resolution of escalated requests.
 
Budget Management:
  • Reviews and audits monthly fleet invoices insuring they are submitted timely for approval.
  • Works with Finance and other organization entities to provide all data necessary for required financial reporting both internal and external.
  • Prepares financial reports and chargebacks.
  • End of year fleet reporting.
 
Key Success Factors Experience, Knowledge, and Skills:
  • Ability to analyze data and develop insights to inform fleet management on compliance, improvement opportunities and performance management.
  • Ability to develop effective communications, targeting all levels of the organization (both written and oral).
  • Ability to maintain highest level of confidentiality.
  • Ability to work across a large number of supplier relationships as well as outsourced partnerships.
  • Ability to professionally maintain multiple internal relationships with personnel at all levels.
  • Proficiency in Microsoft Excel, Word, and PowerPoint.
  • Preferred a minimum of 5 years overall business experience, with Fleet experience preferred.
  • Requires demonstrated customer service and personal leadership skills.
  • Sound judgment and decision-making skills.
