Job Title: Project Coordinator
Duration: 9 months Temp to hire
Location - Chesapeake, VA 23320
Job Summary
The Project Coordinator supports engineering and construction projects by working closely with the Project Manager and project team. This role is responsible for coordinating administrative activities, facilitating communication, and ensuring smooth execution of project and program requirements.
Key Responsibilities
- Coordinate project activities internally and externally with clients, vendors, and stakeholders
- Facilitate communication across project teams, suppliers, and clients
- Resolve project-related queries through research and appropriate responses
- Prepare and present:
- Meeting minutes
- Reports
- Presentations using Excel, PowerPoint, Access, and other tools
- Manage project setup and maintain documentation updates
- Monitor deadlines, milestones, and benchmarks
- Support monthly progress reporting (action items and updates)
- Plan and coordinate:
- On-site and off-site meetings
- Training sessions
- Stakeholder and team meetings
- Maintain training records and ensure compliance with corporate and project requirements
- Obtain document approvals and maintain both electronic and physical records
- Verify and process:
- Invoices
- Expense reports
- Trip tickets
- Coordinate IT resources for project teams
- Track accounts receivable (AR) and unbilled items
- Assist in project closeout activities
- Prepare project cost forecasts
- Generate PPS reports
- Prioritize and manage project deliverables
- Investigate unbilled project expenses and report findings
- Support preparation of contracts and subcontracts
- Develop internal project procedures
- Perform additional duties as assigned and ensure compliance with company policies
Required Qualifications
- Education & Experience (any one of the following):
- Bachelor’s degree + 8 years of experience
- Associate degree + 10 years of experience
- High School Diploma/GED + 11 years of experience
Skills & Competencies
- Strong ability to work independently with accuracy and reliability
- Advanced proficiency in:
- Microsoft Word
- Excel
- PowerPoint
- Access
- Excellent organizational and multitasking skills
- Strong attention to detail
- Effective communication skills across all organizational levels
- Problem-solving abilities
Additional Requirements
- Must comply with federal drug testing requirements
- Successful completion of a drug screening is mandatory for employment
