Job Description

Title: Sales Coordinator, Institutional Sales & Service Support
Duration: 12 Months (Possibility of extension/conversion)
Working Location: Toronto, ON (4 days/1 day remote)
 
Role Overview:
  • The Sales Coordinator, Institutional Sales & Service Support plays a critical behind-the-scenes role in enabling the success of the institutional sales and service team.
  • This position supports day-to-day sales and client service activities through coordinated sales enablement, communications, event execution, and content development.
  • The ideal candidate is highly organized, service-oriented, and comfortable operating in a fast-paced, matrix environment.
  • They bring strong attention to detail, excellent communication skills, and the ability to collaborate effectively across sales, investment, marketing, compliance, and operations teams.
Key Responsibilities:
Institutional Sales & Service Support
  • Provide comprehensive administrative and operational support to the institutional sales and service team, ensuring smooth execution of client-facing and internal initiatives.
  • Support client service processes, sales activities, and general enablement needs that help teams meet business and client service objectives.
  • Act as a reliable point of coordination for ad-hoc requests, ongoing initiatives, and back-up support for key team activities.
Sales Enablement & Communications
  • Prepare and coordinate internal and external sales and client communications, ensuring clarity, accuracy, consistency, and alignment with business priorities.
  • Project manage the development and distribution of sales materials and non-product value-add collateral, coordinating copy, design, compliance review, translation, and final delivery.
  • Maintain and organize sales content and materials within content management systems, ensuring teams have timely access to current information.
Event & Sponsorship Coordination
  • Support the planning, coordination, and execution of internal and external events, including conferences, roadshows, sponsorships, and client meetings.
  • Manage event logistics, materials preparation, communications, and post-event follow-up in collaboration with sales leaders and internal partners.
  • Assist in promotional merchandise and inventory management related to events and client engagement initiatives.
Project & Stakeholder Coordination
  • Partner effectively with internal stakeholders across distribution, marketing, product, investment teams, compliance, and operations to execute initiatives on time and to a high standard.
  • Lead project planning and execution by tracking timelines, coordinating deliverables, and ensuring consistency and quality in outputs.
  • Proactively identify opportunities to improve sales support, enablement processes, and the overall client experience.

Required Qualifications:
  • University degree or equivalent experience
  • 3+ years of experience in financial services, or asset management industry
  • 5+ years experience in:
    • Event management experience, including planning and execution
    • Sales support, administrative support and/or client service
    • Communications
    • Content Development
    • Project Management
  • Experience supporting sales or distribution teams
  • Experiencing interacting with and providing support for senior level leaders
  • Strong proficiency with Microsoft tools including CoPilot, Outlook, Teams, Word, Excel, and PowerPoint.
Preferred Skills:
  • General understanding of investments, asset classes, and the institutional sales environment.
  • Familiarity with CRM or sales enablement platforms (e.g., Salesforce, Seismic).
  • Canadian Securities Course (CSC) or progress toward completion.
  • Knowledge of regulatory requirements within the investment industry.
