Position Title: Operations Support
Work Location: Mettawa, IL 60045
Assignment Duration: 9 Months
Work Schedule: First shift (day shift) Flexible working hours Typical core hours around 9:00 AM to 4:00 PM
Work Arrangement: Hybrid

Position Summary: Role supports the Patient Services organization. The broader group supports multiple teams that provide patient outreach services.

Background & Context: There are approximately 26 different teams within the Patient Services organization. The organization also operates a contact center environment. Many of the teams utilize contractors, requiring frequent onboarding, offboarding, and internal transfers.
The team spends significant time managing contractor onboarding, offboarding, and employee transfers between teams. The team uses an internal Microsoft Power App called SMART to manage staffing and onboarding activities. 
The team is currently building integrations between SMART and other systems. The SMART application serves as the primary system used for staffing and onboarding management. This role will involve working in the SMART application daily.

Key Responsibilities:
• Responsibilities include processing onboarding and offboarding activities through the system.
• The role involves entering new hire information and submitting credential and access requests to various teams. • Once information is entered, the system triggers notifications to other teams responsible for system access.
• The team handles nearly all onboarding activities except issuing the employment offer. • The role will support a subset of teams within the broader organization. • Specifically, this position will support approximately 5 of the 26 teams.
• The new hire will be trained alongside existing team members. • The environment involves frequent collaboration with internal teams and stakeholders. • The team operates within a lightweight Agile-style working environment.
• Daily work includes short stand-up meetings lasting approximately 15–30 minutes each morning around 9:00 AM. • Work includes operational support tasks as well as some sprint-related project work.
• Current workload split is approximately 70% operational work and 30% sprint activities. • After hiring, the expected split may shift closer to 60% operational work and 40% sprint activities. • Operational responsibilities include managing onboarding/offboarding tasks and maintaining staffing data in the SMART system. • The team also manages an operational mailbox used to distribute requests and tasks.
• Requests are triaged and assigned to team members based on team needs and capacity. • The team performs weekly data quality checks and processes.
• Team members may also help document processes, define procedures, and suggest system or process improvements.

Qualification & Experience:
• Approximately 2 years of relevant professional experience preferred
• Bachelor’s degree preferred, but education requirements are flexible based on relevant experience and skillset • Candidates with strong relevant experience may be considered even without a Bachelor’s degree
• Strong written and verbal communication skills required • Demonstrated attention to detail required • Strong organizational and time management skills required
• Ability to manage multiple priorities in a fast-paced operational environment • Ability to work effectively across multiple systems and tools simultaneously • Strong technical aptitude and ability to quickly learn new systems and applications • Proficiency with Microsoft Office tools required, particularly Excel for reporting and data handling and PowerPoint for presentations and stakeholder reporting
• Experience working with data analysis or reporting tools such as Excel required • Exposure to data analysis tools such as Access, SQL, or Power BI considered a plus • Familiarity with workflow or system-based tools such as Microsoft Power Apps considered a plus but not required
• Experience coordinating onboarding, offboarding, or operational processes preferred • Ability to collaborate with multiple internal teams and stakeholders across the organization • Ability to monitor and manage tickets or workflow tasks within operational systems
• Strong problem-solving mindset with interest in identifying process improvements and operational efficiencies
• Ability to work independently while maintaining accuracy and productivity in a self-paced environment • Customer-service mindset when interacting with internal stakeholders and cross-functional teams
• Interest in working within a lightweight Agile environment and supporting operational and sprint-based work
