Location: Hiring manager strongly prefers a hybrid arrangement in Waltham, MA, but will also consider King of Prussia, PA, or potentially 100% remote for the right candidate

Job Description:  
 

We are seeking a senior Medical Affairs operator to serve as a force multiplier for the US Medical Affairs leadership team. This individual will act as an operational right hand to the Vice President, translating leadership priorities into disciplined execution across a complex portfolio of cross functional initiatives.
 
This is not a traditional project management role. The successful candidate will operate with strategic context, exercise sound judgment, and proactively drive alignment, prioritization, and follow through across competing priorities. They will ensure that leadership decisions convert into measurable progress, with clear accountability and visibility at all times.
 
Key Responsibilities:
 
Leadership Enablement & Execution
 

Serve as a trusted operational partner to the VP of US Medical Affairs, supporting execution of strategic priorities across the organization.
Translate leadership vision into executable plans, milestones, and decision points, ensuring nothing falls through the cracks.
Proactively identify risks, dependencies, and trade offs; escalate issues with clarity and recommended actions.
 
Portfolio & Program Orchestration
 

Maintain real time visibility into active initiatives, timelines, resourcing, and budget utilization across the Medical Affairs portfolio.
Drive prioritization across competing workstreams, balancing urgency, impact, and capacity.
Ensure cross functional alignment across Medical Affairs, Commercial, Clinical, Regulatory, Finance, and other stakeholders as needed.
 
Leadership Team Cadence & Governance
 

Orchestrate leadership team meetings, including agenda development, pre reads, decision framing, and documented outcomes.
Drive accountable follow through on commitments, decisions, and action items without formal authority.
Establish and maintain effective operating rhythms, governance processes, and communication flows.
 
Operational Rigor & Continuous Improvement
 

Implement pragmatic tools, trackers, and processes to improve execution discipline without adding unnecessary bureaucracy.
Identify opportunities to streamline workflows, improve visibility, and strengthen operational effectiveness.
Support planning cycles, budget tracking, and resource allocation activities as required.
 
Minimum Requirements:  
 

•    8+ years of experience in Medical Affairs operations, pharmaceutical/biotech program leadership, Chief of Staff–type roles, or equivalent senior operational roles.
•    Demonstrated experience supporting VP level or executive leadership in complex, matrixed organizations.
•    Strong portfolio or program management capability, with the ability to operate beyond task tracking and timelines.
•    Proven ability to influence and hold leaders accountable without positional authority.
•    Exceptional organizational judgment, discretion, and executive presence.
•    Ability to connect dots across strategy, execution, resourcing, and budget considerations.
•    Comfort operating in ambiguity with a strong bias for action.
 
Preferred / Nice to Haves:
 

•    Prior experience in Medical Affairs, R&D, or field medical environments.
•    Experience working in hybrid or highly distributed leadership teams.
•    Exposure to budget management, resource planning, or operational governance models.

•    A junior or mid level project management role
•    An administrative or coordinator position
