Job Description
Position Title: Communications Specialist
Location: Mettawa, IL 60045
Work Schedule: Onsite Tuesday–Thursday (3 days/week)
Duration: 6 Months (Possible Extension)
Position Overview
We are seeking an experienced Communications Specialist to support internal communications within the Business Technology Solutions team. This is a newly created role designed to consolidate communication responsibilities across the department and improve structured messaging across a dynamic and growing organization.
The role supports approximately 170 employees and contractors and works closely with U.S. Commercial teams, cross-functional stakeholders, and international partners. This is a hands-on execution role and not a people management position. The specialist will work directly with leadership, including VP-level stakeholders, and support high-visibility, high-impact initiatives.
The ideal candidate is an exceptional writer who can synthesize complex information into clear, concise, and actionable messaging while maintaining consistent branding and structured communication frameworks.

Key Responsibilities
- Develop and execute internal communication strategies aligned with organizational objectives
- Create clear, concise, and engaging communications for diverse audiences (U.S. and global)
- Deliver standardized messaging using established templates and branding frameworks
- Support high-visibility, high-impact initiatives such as End-to-End and Next Gen CRM projects
- Provide timely and transparent project status updates
- Draft emails, newsletters, leadership messaging, team announcements, and internal articles
- Develop and maintain structured communication frameworks and internal processes
- Support organizational change management initiatives and technology rollouts
- Create and update SharePoint content
- Develop PowerPoint presentations and stakeholder decks
- Create tutorial and explainer videos to support project rollouts and organizational changes (approximately 5% of role)
- Coordinate proactively with cross-functional and global stakeholders
- Draft project documentation and reinforce communication best practices across the department
Required Qualifications
- Bachelor’s degree required
- 5–7 years of Internal Communications or Marketing Communications experience
- Exceptional writing, editing, and proofreading skills
- Proven experience supporting cross-functional and/or global projects
- Strong ability to synthesize complex information into clear, actionable messaging
- Strong PowerPoint creation skills (required)
- Experience creating tutorial or explainer videos (required)
- Experience drafting project documentation, newsletters, and internal communications
- Experience working with SharePoint
- Proficiency in Microsoft Office Suite, especially PowerPoint
- Comfortable working in a fast-paced, evolving environment
Preferred Qualifications
- Experience with Figma (currently in use)
- Experience with Adobe Premiere Pro, Photoshop, Illustrator, Canva, or Staffbase
- Exposure to change management initiatives
- Strong organizational and project management skills
- Ability to build structure and improve communication frameworks across teams
