Job Title: Wearables Business Operations Project Coordinator
Location: Burlingame, CA (Onsite – Strong Preference) / Remote (Must work PST hours)
Duration: 12 Months
Overview
We are seeking a Business Operations Project Coordinator (CW) to support core team operations, with a strong emphasis on employee experience, internal communications, and administrative program logistics.
This role partners closely with Business Operations Leads and cross-functional teams including People, Product, Engineering, Design, and Finance.
The ideal candidate is highly organized, proactive, and comfortable managing multiple moving pieces while maintaining clear communication and strong attention to detail.
Key Responsibilities

Own operations and coordination for employee engagement and team experience programs, including planning, scheduling, vendor/room/tool coordination, budget tracking (as applicable), and follow-through.

Draft internal communications (updates, announcements, FAQs) that are clear, accurate, and aligned to tone and audience.

Drive organization-wide programs and projects by taking action on key deliverables, managing dependencies, and keeping stakeholders informed on progress.

Compile and polish content for leadership presentations.

Support virtual events end-to-end, including run-of-show development, attendee communications, invite management, day-of execution support, and post-event retrospectives.

Leverage AI tools to streamline workflows while exercising sound judgment on accuracy and confidentiality.

Oversee knowledge management processes to keep teams informed and connected.
Minimum Qualifications

5+ years of experience in program coordination, operations, administrative program management, or similar roles supporting multiple stakeholders across varying functions and seniority levels, including Senior Executives.

Proven ability to manage deadlines and dependencies across multiple parallel workstreams with minimal oversight.

Experience with event logistics (virtual and/or in-person) and operational execution.

Strong written and verbal communication skills, with the ability to tailor messaging to different audiences.

Excellent organizational skills and attention to detail; ability to handle sensitive information with discretion.

Proficiency in common collaboration tools (documents, spreadsheets, slide presentations, calendars) and ability to quickly learn new systems.
Preferred Qualifications

Experience supporting teams in a large, fast-paced organization with frequent cross-functional collaboration.

Prior experience in a similar enterprise-scale environment.

Experience creating high-quality presentations and/or providing light creative support (basic video editing, simple graphics) for storytelling.

Demonstrated ability to apply AI tools to improve operational workflows (drafting, summarizing, tracking, templating).
