Description:
The PMO Senior Analyst is a lead within the Project Management Office, responsible for end-to-end oversight and administration of key financial and project control activities. This role owns advanced financial processes such as RCE submissions, monthly journal entry and accrual management, and financial reconciliation across complex cost centers. The Senior Analyst independently drives approval workflows, validates purchase order accruals, supports long-range planning and budgeting, and facilitates cross-functional capital meetings. By leading process improvements, digital workflow enhancements, and acting as a problem-solver for project and vendor challenges, this position ensures robust project governance and financial integrity.
1. Financial Documentation & Administration
o Lead, prepare, review, and administer Statements of Work (SOWs), ensuring alignment with project objectives and budget constraints.
o Oversee end-to-end Purchase Order (PO) processing, including vendor setups and banking information resolution, in compliance with procurement policies.
o Serve as the Lead for RCE (Request for Capital/Expense) submission across PSMAD, managing executive summary reviews, approvals, and engaging independently with project owners and BTS Admins.
o Maintain project status and compliance updates in Clarity/Smartsheet for active Capital projects.
o Facilitate partial depreciation requests, capital project closures, and vendor contract change request processing.
2. Advanced Financial Controls & Reconciliation
o Take charge of monthly Journal Entry (JE) calculations and processing for APS, ensuring robust financial stewardship.
o Oversee accrual management and reconciliation across multiple PSMAD cost centers, validating Cognizant Master PO accruals for financial accuracy.
o Conduct regular financial reconciliations, identify discrepancies between actual and budgeted spend, and collaborate with finance teams to resolve issues in invoicing and payment.
o Aggregate and report monthly accruals information for management review.
3. SAP Data Analysis & Reporting
o Use SAP to extract, analyze, and report financial data for ongoing projects.
o Monitor critical KPIs and visualize financial performance through dashboards and reports for stakeholders.
o Conduct post-WD1 reconciliation and provide actionable insights on planned vs. actual spend.
4. Project Delivery, Controls & Governance
o Coordinate delivery management follow-ups, obtaining timely project status updates and ensuring alignment between financial requirements, budget adherence, and resource allocation.
o Organize and facilitate monthly capital meetings for PSMAD, acting as the central liaison between BTS Finance and project managers, streamlining action items, follow-ups, and stakeholder engagement.
o Support long-range planning (LRP), project budgeting, FCD (forecasted completion date) requests, and CIP (capitalization-in-progress) tracking for improved project controls.
5. Process Improvements & Digital Transformation
o Identify and drive process improvement initiatives within PMO financial management practices.
o Implement Smartsheet or other digital workflows for Savings Optimization processes, modeling continuous improvement and digital transformation.
6. Stakeholder Engagement & Issue Resolution
o Serve as a trusted issue resolution partner for vendor, banking, and PO processing challenges, demonstrating cross-functional communication and proactive problem-solving.
o Provide training and guidance to internal stakeholders on financial documentation processes including SOWs, POs, RCEs.
o Prepare presentations and reports summarizing project financial health, stewardship initiatives, and process improvements for senior management.
Qualifications:
• Bachelor’s degree in Finance, Business Administration, Project Management or a related field; Master’s degree preferred.
• Minimum of 3 years’ experience in a PMO or similar role with a focus on financial management activities.
• Proficiency in SAP or similar ERP systems; strong analytical skills with advanced Excel capabilities.
• Strong in usage of MS-Office products, Smartsheet and reporting tools. Experience in building reports and dashboards is preferred.
• Excellent communication skills with the ability to present complex information clearly to diverse audiences.
• Strong organizational skills with attention to detail; ability to manage multiple priorities effectively.
