Role Overview
We are seeking a high caliber Executive Project & Operations Coordinator to serve as a strategic enabler to the Vice President of Commercial & GPS Procurement. This role blends executive support, project coordination, and leadership team enablement into a single, integrated position.
The individual will act as a force multiplier for the VP—owning calendar orchestration, driving meeting effectiveness, ensuring disciplined follow through on decisions, and coordinating a portfolio of leadership level initiatives. This is not a traditional administrative role, but a hands on execution role with direct exposure to executive decision making and enterprise priorities.
Success in this role is measured by improved executive effectiveness, faster decision execution, and increased operating discipline across the leadership team.
Core Responsibilities
Executive Time & Operating Rhythm
• Own and autonomously orchestrate the VP’s calendar end to end, including scheduling, sequencing, and prioritization of meetings
• Anticipate conflicts, propose trade offs, and ensure time is focused on highest value priorities
• Prepare agendas, pre reads, executive briefs, and synthesis materials
• Draft professional communications on behalf of the VP with sound judgment and discretion
Meeting Effectiveness & Follow Through
• Capture meeting minutes, decisions, action items, and owners
• Drive closed loop follow up to ensure commitments are executed
• Proactively chase inputs, unblock progress, and maintain execution momentum
Project & Leadership Team Coordination
• Coordinate and track strategic and operational initiatives across Commercial & GPS Procurement
• Maintain action plans, milestones, and dependencies across the VP’s Leadership Team
• Consolidate updates into clear, executive level status reporting
• Support planning and orchestration of leadership meetings and key forums
Technology, Data & AI Enablement
• Leverage digital tools and AI solutions (e.g. Copilot, Excel automation, workflow tools) to automate tasks and improve productivity
• Build and maintain trackers, templates, and simple dashboards (Excel, PowerPoint, project tools)
• Continuously identify opportunities to simplify and optimize workflows
Candidate Profile
Education & Experience
• Bachelor’s degree in Business, Engineering, Analytics, Economics, Supply Chain, or related field
• Demonstrated strong analytical ability, learning agility, and problem solving skills through academic, professional, or experiential achievement
• 0–3 years professional experience; strong maturity and curiosity required
Skills & Attributes
• Highly organized, detail oriented, and reliable with strong follow through
• Tech and AI savvy; comfortable using digital tools to work smarter
• Strong written and verbal communication skills
• Proactive, solution oriented, and highly collaborative
• Comfortable interacting with senior leaders; high professionalism, discretion, and judgment
