Job Title: Sr. Global Business Operations Coordinator
Duration: 12 Months
Onsite/Hybrid: 50% onsite
Site Locations: Giralda Farms, Madison, NJ
Work Schedule: Mon- Fri(normal business hours)
Must Haves:
• Working knowledge of ERP systems such as SAP or equivalent, including master data concepts, data validation, and cross functional coordination.
• Experience supporting and administering business tools and workflow platforms such as QuickBase, Smartsheet, Tableau, or comparable systems.
• Proficiency in Power BI, Excel, and general data analysis, reporting, and dashboarding concepts.
Role Summary
The Sr. Global Business Operations Coordinator provides analytical, systems, administrative, and logistical support across VEXMO. This role supports master data activities, business systems and tools, reporting, and process execution, while also coordinating VEXMO leadership logistics and handling team administrative needs. The coordinator ensures reliable day to day execution of systems support activities, data accuracy, and operational readiness, enabling scalability and process effectiveness across the External Manufacturing network. This role is well suited for professionals early in their career who bring foundational experience in systems, data, or operations and are looking to deepen their technical, analytical, and cross functional skills while gaining exposure to enterprise systems, process design, and leadership level operations.
Key Responsibilities
• Systems and process support - Support the Manager, Process and Systems in execution of system related activities aligned to the External Supply Technology Roadmap.
• Manage master data collection workflow partnering with cross-functional SMEs (External Manufacturing, Quality, Finance, Supply Chain)
• Serve as a support point for systems related questions from end users, triaging issues and partnering with Manager, Process and Systems, GBO Lead, and Sr. Director of Process & Systems.
• Support documentation of processes, procedures, and training materials to ensure tools and systems are used as intended.
• Assist in tracking system enhancements, defect logs, and prioritized requests under the direction of the Manager, Process and Systems.
• Data, analytics, and reporting support: Support development and maintenance of dashboards, reports, and exception monitoring to increase process visibility and control.
• Assist with data validation, data quality checks, and reconciliation activities across operational systems when needed.
• Support monthly and quarterly reporting cycles using Power BI, Excel, and other analytical tools when needed.
• Maintain accuracy of operational data within QuickBase applications, reporting tools, and SharePoint repositories.
• VEXMO Training curriculum: weekly Leadership reporting and liaise with GPS Training to ensure role curriculum alignment.
• Ad hoc administrative support as needed; GIR Meeting Catering, logistics.
Qualifications
• 4 to 7 years of experience supporting business operations, systems, data, or analytics in a fast paced, matrixed environment.
• Working knowledge of ERP systems such as SAP or equivalent, including master data concepts, data validation, and cross functional coordination.
• Experience supporting and administering business tools and workflow platforms such as QuickBase, Smartsheet, Tableau, or comparable systems.
• Proficiency in Power BI, Excel, and general data analysis, reporting, and dashboarding concepts.
• Strong organizational skills with high attention to detail and the ability to manage multiple priorities and shifting deadlines.
• Effective written and verbal communication skills, with a collaborative, service-oriented mindset and comfort working with both technical and non-technical stakeholders.
Education:
• Bachelor’s degree or High School/ associate degree with equivalent practical experience, with relevant certifications such as Certified associate in project management, Six Sigma, Google Data Analytics, or similar analytics or process focused credentials considered a plus.
Travel required: 5 to 10% between local sites
