Job description
  • This position will be primarily responsible for preparing, administering and maintaining natural gas, crude oil, and renewable natural gas transaction confirmations for multiple Client
entities in accordance with internal contracts, risk, and recordkeeping policies and procedures
 
Specific Accountabilities
  • Prepare commodity transaction confirmations ranging in complexity from basic to complex.
  • Review externally prepared commodity transaction confirmations and compare to internal systems, as applicable, to ensure deal parameters and any additional information are accurately reflected in the confirmations.
  • Provide back-up support in preparing, maintaining and administering confirmations for certain gas activities, ensuring transactional risk is mitigated by timely and accurate verification per applicable Risk Policies, SOX and audit requirements.
  • Provide back-up support role in preparing, maintaining and administering physical transaction confirmations for Canadian crude oil ensuring transactional risk is mitigated by timely and accurate verification per Risk and Contracts Policies, SOX and audit requirements
  • Responsible to ensure monthly, adhoc and 1st of month pricing is updated timely and accurately into Egistix system, for Accounting’s monthly settlements
  • Liaise with internal personnel (Contract Negotiator, Accounting, Pricing Analyst and Traders) and external counterparties to ensure accuracy of transaction confirmation terms for mutual acceptance
  • Proactively identify inaccurancies and inconsistencies in transaction confirmations; troubleshoot problems related to confirmations as they arise.
  • Follow Records Management Policy and assist with audit requests, as needed.
  • Data entry and validation of transaction terms using Egistix, ICE eConfirm and OpenLink.
  • Assist Legal in confirmation review, ensuring correctness and mutual acceptance of transaction confirmation terms.
  • Provide support to Confirmation Advisors and Contract Negotiators with increasing independence and accountability over time for drafting, reviewing and amending agreements, ensuring all contracts comply with the Contracts Policy and related procedures.
  • Manage Contracts Sharepoint Site of contracts issued for execution in an organized and up-to-date manner to enable control of document flow, follow up on outstanding matters and ensuring timely execution of documents.
  • Enter new commodity contracts and amendments into OpenLink and prepare executed documents and related information for Records Management filing.
  • Provide internal and external auditors detailed walkthrough of all controls on an annual basis. Possess strong knowledge of control environments for confirmations area to identify and report Risk policy violations and non-compliance items.
  • Work with the Contract Negotiator to ensure all confirmations affected by Force Majeure are retrieved for responses to affected counterparties.
  • Other analytical and administrative duties, as required
 
Knowledge, Skills & Abilities
  • University degree or college diploma in business / commerce or equivalent work experience
  • Excellent attention to detail
  • 1-3 years of confirmations, administrative commodity, paralegal or related experience
  • Ability to multi-task in a fast paced environment
  • Strong organizational and time management skills
  • Strong written, oral communication and interpersonal skills
  • Proficient in Word, Sharepoint and Excel
  • Ability to work well alone and within a team environment
  • Positive attitude and self-starter
  • Collaborative and flexible approach
 
Preferred:
  • Strong legal background (certificate) is desirable
  • Endur/Openlink, Egistix and Sharepoint are a plus
