Job Summary
The HR Assistant role requires hands-on experience executing core HR administrative, onboarding, and payroll support activities. The ideal candidate must be able to independently perform all standard HR operational tasks, particularly those related to onboarding coordination, employee data management, payroll incident support, and internal HR communications.

The HR Assistant role requires hands-on experience executing core HR administrative, onboarding, and payroll support activities. The ideal candidate must be able to independently perform all standard HR operational tasks, particularly those related to onboarding coordination, employee data management, payroll incident support, and internal HR communications.
Onboarding & Hiring
The candidate must have prior experience performing the following tasks:
- Reviewing and validating information received from recruiters for new contingent hires.
- Coordinating onboarding sessions with internal stakeholders and incoming hires.
- Preparing employment contracts for contingent workers and new hires.
- Conducting onboarding sessions for new hires.
- Sending welcome emails with first-day instructions, vacation request guidelines, and benefits information.
- Initiating health insurance enrollment requests for new hires.
- Filing signed contracts and hiring documentation in employee folders and HR systems.
- Updating employee status in HR systems once new hires begin working.
The candidate must be able to:
- Maintain, review, and update HR data accurately.
- Generate Paychex-related documentation within HR systems.
- Respond to HR-related inquiries via email and WhatsApp, including coordination with insurance brokers and contingent workers.
- Prepare salary certificates and approved vacation forms.
- Prepare and process contract addendums, including extensions or changes to working conditions.
Experience in payroll support is mandatory, including:
- Preparing, updating, and maintaining payroll incident records.
- Completing payroll incident files accurately and on time.
- Coordinating payroll approvals with internal stakeholders.
- Sending payroll calculation files for approval and communicating approvals to payroll providers.
- Requesting and confirming approvals required for payroll processing and account linkage.
- Confirming successful payroll processing and accreditation with payroll partners.
- Proven experience executing HR administrative and onboarding processes.
- Demonstrated hands-on experience supporting payroll operations and incident tracking.
- Strong attention to detail and ability to handle confidential information.
- Ability to manage multiple HR processes simultaneously.
- Strong written and verbal communication skills.
- Experience working with HR systems and payroll-related tools.
- Advanced English Level
