Job Description

Job Title: Facilities Receptionist
Duration:1 Months (Backfill Role)
Location: 502 Carnegie Center Drive, Suite 300, R&D Center, Princeton, NJ, 08540
On site in Princeton. Note that this will be an as-needed position.
The dates of coverage for Princeton would be: January 21–30: Coverage (Wednesday to Friday, allowing the 21st-23rd for training)
 
The goal is to establish a pool of candidates in both San Diego and Princeton to provide front desk coverage as needed.
Please note that this role will not lead to a full-time opportunity in the near future—it is strictly a substitute pool. Ensure candidates clearly understand this expectation.
 
Position Summary
  • Responsible for overall front office activities, including the reception area, mail, and facility operations.
  • Receives and directs visitors accordingly.
  • Operates company main line phone (“WebEx Calling”).
  • Provides administrative, clerical and general office support for the Company. Primary Duties & Responsibilities
  • • Receives and directs visitors, candidates, vendors, etc. to appropriate location and host employee.
  • • Prepares security badges for visitors and issue temporary access cards/fobs in compliance with Security measures.
  • • Receives and directs incoming calls during normal business hours, triage and log inbound call center calls.
  • • Performs end of day administrative duties to prepare for each new work day and closes out activities.
  • • Maintains postage equipment and supplies; prepares and sort all incoming mail, and posts outgoing mail. Orders office supplies.
  • • Receives and distributes FedEx and other deliveries and prepares outgoing Federal Express shipments.
  • • Coordinates gym waivers and parking access forms.
  • • Provides administrative support throughout the company including, but not limited to, ordering business cards, filing, creating project folders and binders, Amex reconciliation and performing data entry.
  • • Coordinates Concierge Services activity, including liaising with vendors and employees to ensure appropriate communication and security.
  • • Assists in coordinating department activities within allotted budgets.
  • • Interfaces with building contractors and service providers as needed to maintain office operations.
  • • Maintains and updates Receptionist and FDA manuals.
  • • Other duties as assigned.
 
Skills:  
Key Candidate Qualities:
• Proven ability to interact with all levels of employees within the company and to serve as company representative, including an appropriate display of professionalism, diplomacy and judgment while answering inquiries and referring calls/visitors.
• Solid PC skills including Microsoft Outlook, Word and Excel.
• Ability to handle multiple tasks while managing active reception desk.
• Great Plains systems experience helpful. Scope: Applies acquired job skills and company policies and procedures to complete assigned tasks. Works on assignments that are semi-routine in nature but recognizes the need for occasional deviation from accepted practice.
Normally follows established procedures on routine work; requires instructions only on new assignments.
 
Physical Requirements: While performing the duties of this job, the employee is regularly required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, see, talk or hear in a standard office environment. Employee must occasionally lift and/or move up to 15 pounds.
Education: High school diploma and 2 years of related experience.

Position requires office/clerical experience including exceptional verbal communication skills and ability to collaborate with both internal and external partners. An equivalent combination of relevant education and applicable job experience may be considered.
