Job Title: Business Operations Coordinator
Location: 100% Remote - US
Duration: 12 months from the start date, with the possibility of extension based on performance and business requirements.
Shift/Hours: 40 hrs/week
Equipment: MacBook

Duties

Client is looking for a Business Operations Specialist  to join the Global Marketing Strategy & Operations team. You will be a key cross-functional partner to the Global Marketing team, helping to manage the overall budget and coordinate best practices with stakeholders across all levels of the organization. You will ensure that the global marketing team spends budgets efficiently and in full, identifying opportunities for strategic trade-offs and redirecting savings toward critical marketing initiatives. You will lead efforts to manage and optimize our budget management tool (via Pigment software). Additionally, you will communicate with partners on marketing operating expenses and their payment statuses, solicit feedback from partners to ensure continuous commitment to plans, and ensure understanding of actual spend and our goals, risks, and opportunities with the budget to ensure successful delivery of the company’s growth plans. You are an expert with data/spreadsheets and will play a critical part in providing critical analysis for leadership asks. You are an enthusiastic partner to stakeholders who may be less fluent with budget operations and financial data and are a team player who is ready to jump in and proactively solve problems. This role is eligible to work remotely.

  • Serve as our in-house Pigment software expert and lead efforts to manage and optimize our budget management and forecasting tools - including maintaining and evolving the Pigment model infrastructure, building and updating analytical views, and improving usability across teams.
  • Conduct precise, critical analysis for leadership asks with an eye for the details.
  • Partner with Global Marketing stakeholders to oversee execution of budget plans through purchase order creation and invoice and accruals management
  • Reconcile budget plan and spend actuals through disparate datasets and develop reporting to ensure execution and manage risk across the organization
  • Manage billing transactions, vendor communications, and month end close in lock step with Accounting
  • Work with the Global Marketing team to define and update processes as we continue to grow and evolve the business
  • Onboard key vendors and partners and facilitate relationship with Procurement on behalf of Marketing team
  • Continuously improve marketing budget operations by exploring automation, AI-driven insights, and process innovation to increase efficiency and accuracy.
  • Play a key role in the annual planning process - supporting marketing’s bottoms-up inputs, forecasting, and reconciliation to ensure alignment with company goals.
Skills:
  • 2+ years’ experience in an operational role, ideally in Marketing or Business Operations
  • Experience partnering with Accounting and Finance teams and managing budgets
  • Desire to connect with a scaled, global team of cross-functional stakeholders spanning every level of the Marketing organization
  • Positive and proactive attitude when taking on complex questions and new projects
  • Comfort troubleshooting technical questions with Finance and Accounting
  • Hunger to solve problems and scale operations through new and creative ways
  • Experience maintaining and optimizing budget management tools - (e.g., Pigment, Oracle Cloud), including model updates, view creation, and reporting enhancements.
  • Interest in leveraging AI and automation to enhance operational efficiency and decision-making.

Technologies We Use and Teach:
