Job Title: Associate Project Management Coordinator
Location: Remote
Duration: 14+ Months
 
Fully Remote - Pacific Standard Time (PST) time zone preferably

This Associate Project Management Coordinator role provides operational oversight and support for client’s Final Publication Review (FPR) process, ensuring high-quality, compliant delivery of the company's scientific communication strategy. This role is accountable for processing and tracking FPR submissions, coordinating review and approval workflows, maintaining publication records in Salesforce, and escalating compliance issues as needed.

Reporting to the Scientific Communications Operations Sr Manager, this role partners closely with medical writers, reviewers, compliance stakeholders, and cross-functional teams to ensure smooth and timely execution of publication reviews.
Qualified candidates will demonstrate strong organizational and communication skills, meticulous attention to detail, and the ability to work effectively in a dynamic, matrixed environment.

Day to Day Responsibilities:
Publication Process Support
• Process incoming Final Publication Review (FPR) requests.
• Perform quality checks to ensure data accuracy.
• Coordinate timely approvals of FPR requests across stakeholders.
• Maintain publications databases and records in Salesforce.
• Troubleshoot submission and technical issues for stakeholders.
• Follow up on unanswered automated requests for reviews and approvals.
• Upload final versions and metadata to the publication archive.
• Maintain up-to-date knowledge of SOPs, best practices, and product team dynamics.
• Escalate compliance issues and exceptions as identified.

Stakeholder Engagement
• Manage and update guidance documents related to the FPR process.
• Train new employees and guide stakeholders on FPR requirements.
• Ensure compliance and adherence to SOPs, communicating updates to stakeholders in a timely manner.

• Excellent communication, written and verbal
• Poise, professionalism, and a collaborative, helpful approach to work
• Proficiency with AI (e.g., ChatGPT), Microsoft (Outlook, Word, Excel), and other common office applications

Basic Qualifications
• Bachelor’s degree (life sciences, communications, project management, or related field preferred)
OR
• Associate’s degree and 3 years of medical publication, Salesforce, project management, or editorial experience
OR
• High school diploma/GED and 5 years of medical publication, Salesforce, project management, or editorial experience

Preferred Qualifications
• Experience working with strict compliance requirements and processes.
• Discretion in handling proprietary company information.
• Salesforce proficiency (including reporting tools).
• Strong skills in MS Office (Outlook, Word, Excel).
• Excellent data entry skills with emphasis on accuracy and process adherence.
• Strong organizational, oral/written communication, and presentation skills.
• Ability to foster collaboration, work effectively on cross-functional teams, and consistently meet deadlines.
• Proven ability to thrive in a dynamic matrix environment.
• Self-starter, flexible, with a strong service orientation.
• Experience in the pharmaceutical, biotechnology, or healthcare-related field preferred but not required.

Basic Qualifications:
  • Associates degree OR High school diploma/GED and 2 years of experience.
OR
  • Certification that is directly related to the role and 2 years of experience.
