Job Title: HR Operations, Pre-Employment Screening Investigator
Location: Chicago Illinois 61254 (Remote)
Work Schedule: Monday–Friday, 40 hours/week
Duration: 6 Months

The HR Operations team is seeking a high performer who relishes the idea that their efforts will directly impact our employees and help shape the next evolution of background investigations at client, to manage risk and protect our organization. Serving as an experienced Background Investigator, you will support global pre-employment screenings and background investigations, reviewing background check results and use investigative skills and critical judgement to clear candidates ahead of starting their employment. The role will ensure compliance with legal and regulatory requirements, HR policies and practices, and act as a primary liaison with the HR Compliance Team, Legal, and client's Cybersecurity Operations Center (SOC). The ideal candidate is a proactive, detail-oriented HR professional with experience in HR operations, Security, HR Compliance, Risk Management, and Background Investigations.

Key Responsibilities:

• Conduct interviews, retrieve records, conduct research, and prepare reports of investigation in compliance with federal standards, all laws, and other required federal agency regulations

• Compile information in a clear, concise report that helps determine employment suitability and security clearance eligibility via a standardized reporting format (in accordance with investigative standards)

• Conduct impartial, fact-based pre-employment investigations and efficiently manage and deliver investigation reports within agreed deadlines and utilize experience in conducting both in-person and remote candidate interviews

• Proactively identify information gaps and inconsistencies, strategizing effective ways to gather necessary data and perform candidate interviews as part of comprehensive background checks over the phone and virtual

• Execute criminal background checks and civil lawsuit verifications using public records

• Prepare organized lists to streamline the background check process

• Maintain consistent, professional communication with clients and stakeholders and meet quality, timeliness, and production metrics for all work assigned in a rapid, time-sensitive setting

• Interact with team leader and case review officers to ensure thoroughness of investigations

• Additional duties or specific tasks may be assigned and functions may be modified, according to the necessity to achieve business objectives

 

Minimum Requirements:

• Bachelor’s Degree or 4 years of general experience with relevant skills

• Must have at least 3 years of experience performing background investigations

 

Preferred Skills/Competencies:

• Proficient in HRIS systems (Workday, SAP, and ServiceNow) and strong data management skills.

• Strong project management skills with the ability to manage multiple priorities in a fast-paced environment.

• Problem-solving mindset with a focus on operational efficiency and continuous improvement.

• Fluent in English; additional language skills (such as French, Spanish, or German) are highly advantageous.

• Track record of working in a customer-focused environment where the emphasis is on SLA's and continuous improvement. Ideally worked in an HR Shared Service Centre before, running an operations team, and other relevant operational experience.

• Ability to lead, coach, mentor and motivate a diverse team; ensure team and individual accountability and performance standards are met.

• Knowledge of case management solutions preferred (Service Now is ideal)

• Able to manage multiple priorities, demonstrate objectivity, be results-oriented, and show initiative and creativity.

• Ability to communicate and interact effectively with different levels of the organization to negotiate, problem solve, complete projects and influence decision making.

• Must be flexible, work well under pressure, and have the ability to readily adapt to change.

• Strong customer service and teamwork orientation.

• Advance skills + technical capabilities in MS Office, Workday, and other related technologies. 

• Demonstrating Role Model Behavior - Positive and professional representative of client and the Human Resources team.

• Teamwork and Collaboration - Demonstrates effective working relationships and communications with coworkers and colleagues including proactive, transparent communication.

• Customer Service and Responsiveness – Following up and responding to inquiries (internal and external) within 24 hours.

• Continuous Improvement - Consistently seeking opportunities to improve the efficiency and effectiveness of our work and services provided. Exposure to LEAN and/or Six Sigma methods

• Quality of Work – creates processes to ensure accuracy, thoroughness, and completeness.

• Finding a Way – Doing what it takes to get the job done.  Demonstrating initiative and going above and beyond what it expected.

• Confidentiality – Ensuring all documents and conversations where sensitive information is involved is protected and secured at all times.  This includes locking work area when leaving for the day and securing computer and documents when away from your desk.
