Job Title: Logistics Coordinator
Duration: Fulltime
Working Model: Onsite - Monday to Friday -> (8 AM - 4:30 PM)
Location: Mississauga, ON
Start Date: Sep 22nd - Oct 6th
Overview:
The Logistics Administrator coordinates the movement of goods and materials by managing shipments, tracking orders, ensuring timely deliveries, and maintaining accurate records of inventory, suppliers, and customers. Key responsibilities include preparing shipping documents, liaising with carriers, custom brokers, CBSA (Form B13) and warehouse staff, managing stock levels, and communicating order status to clients. This role requires strong organizational skills, proficiency with logistics and EPR software, and effective communication to ensure efficient supply chain operations.
Reporting: The Logistics Administrator reports directly to the Director of Finance.
- Must Haves:
- Logistics & inventory control experience (2+ years)
- Strong knowledge of HS/Tariff Codes & cross-border shipping documentation (esp. US/Mexico)
- ERP (preferably Sage)
- Advanced MS Office (Excel, Word)
- Strong attention to detail, ability to prioritize & reprioritize
- Customer service orientation, ability to work cross-functionally
- Nice to Haves:
- Prior experience in furnace/industrial sector (not mandatory)
- Prior work with customs brokers, export forms (e.g., CBSA, commercial invoices, etc.)

Job Duties / Responsibilities:
Reception: Answering incoming telephone calls; directing callers to appropriate department; taking messages; greeting visitors.
Order Entry: Reviewing customer orders for burners and spare parts; promoting service from CRM to SAGE ERP for shipment; preparing necessary job files; entering order information into Production Schedule and Administration Written Business.
Requisition: Create requisition for back-order parts on the sales order.
Shipping: Printing packing slips for out-going shipments; preparing customs documentation for all export shipments; preparing waybills arranging shipment pick-ups with different courier / freight companies.
Manuals / Submittals: Preparing manuals and / or submittals as per requirement of the customers.
Invoicing: Issuing all invoices to customers for burner, spare part orders, service billing for additional freight charges, billing for Service Charges
Credit Notes: Preparing credit notes as required, ensuring that, when issuing warranty credits, the different location code is entered
Filing: Putting all logistics documents together that include the engineering documents, invoice, packing slips, waybills, B13 Form, DHL freight quote, UPS daily tracking report and file electronically in the NT database under burners and spare parts folder.
Customer Service: Assisting customers, if necessary, with shipment information, shipment dates, customs clearance, etc.
Outgoing Mail: E-Mailing invoices, credits, to customers after completing the invoice process.
Other duties as assigned
Skills / Educational requirements:
· Minimum 2-year college diploma, preferably in Business / Office Administration
· Minimum 2 years of Logistics/inventory control background
· Excellent verbal and written communications skills.
· Ability to multi-task, prioritize, and manage time effectively
· Strong proficiency with Microsoft Office (Microsoft Word, Excel, PowerPoint and Outlook)
· Ability to work in team environment & meet deadlines
· Strong knowledge of Logistics/inventory control in manufacturing / distribution environment
· Knowledge of SAGE ERP – order entry/shipping/purchasing and inventory control modules and other logistics software (DHL, UPS, CBSA) for Windows
