Job Summary: We are seeking an experienced Tax Analyst Consultant with specialized expertise in Workday HCM/Payroll and ADP Smart Compliance. The ideal candidate has a high level of WD tax experience (2-3 years), particularly in creating EIBs and amendments, and is comfortable providing assistance with prior year tax matters. This role is critical for ensuring payroll tax compliance, accurate reconciliation, and supporting clients through process stabilization and remediation efforts in a remote capacity.
Key Responsibilities:
Payroll Tax Compliance & Configuration:
Review and validate payroll tax configurations in Workday, focusing on multi-state and local taxation for remote employees.
Monitor legislative updates and ensure timely, accurate tax filings across all jurisdictions.
Collaborate with HR and Accounting teams to confirm correct employee taxation, including reciprocity and local tax obligations.
Tax Analysis & Risk Identification:
Analyze payroll tax liabilities vs. withholdings to detect discrepancies and compliance gaps.
Investigate payroll calculation errors and tax deduction issues using Workday and ADP reporting tools.
Identify root causes of recurring issues such as W-2C triggers, missed local taxes, and jurisdictional mismatches.
Research & Audit Support:
Conduct research on federal, state, and local tax laws to clarify complex compliance requirements.
Audit employee tax setups and payroll transactions to ensure alignment with statutory regulations.
Provide documentation and guidance on amended returns and corrective actions.
Reconciliation & Reporting
Reconcile Workday payroll data with ADP Smart Compliance and General Ledger entries.
Validate quarterly and annual tax reports, identifying discrepancies in payments, deposits, and liabilities.
Prepare journal entries and reconciliation worksheets to support financial accuracy and audit readiness.
Prior Year Review & Notice Resolution:
Review prior year filings and payroll tax notices to identify and resolve outstanding issues.
Assist in preparation of amended W-2Cs and coordinate with vendors on quarterly reporting discrepancies.
Document findings and recommend process improvements to prevent future errors.
Client Enablement & Process Stabilization:
Partner with clients to triage open tax items, amendments, and backlog notices.
Recommend sustainable payroll tax processes and reporting routines, including exception tracking and compliance best practices.
Provide knowledge transfer and training to strengthen client teams’ ability to manage payroll tax compliance independently.
Qualifications:
Proven experience as a Tax Analyst or similar role specializing in Workday HCM/Payroll and ADP Smart Compliance.
Demonstrated expertise in payroll tax compliance, EIB creation, amendments, and multi-jurisdictional taxation.
Strong analytical, reconciliation, and problem-solving skills with attention to detail.
Prior experience assisting with prior year tax filings and resolving tax notices is highly preferred.
Excellent communication and client engagement skills.
Ability to work independently in a remote environment and manage multiple priorities effectively.
