Position: Assistant Center Manager (ACM)
Role Summary:
The Assistant Center Manager is responsible for supporting the overall management and day-to-day operations of the corporate fitness center. This role ensures seamless facility operations, exceptional client and member experience, effective stakeholder engagement, accurate reporting, and efficient coordination with internal and external partners. The Assistant Center Manager serves as the secondary point of contact for client requirements and plays a key role in maintaining operational excellence.
Key Responsibilities:
Operational Management
• Oversee daily fitness center operations and ensure smooth functioning of all services.
• Monitor service quality, operational standards, and member satisfaction.
• Ensure adherence to company policies, client requirements, and safety standards.
• Support the Center Manager in achieving operational goals and service excellence.
Facility Management
• Ensure the fitness center facilities, equipment, and infrastructure are maintained in optimal condition.
• Coordinate preventive and corrective maintenance activities.
• Conduct regular facility inspections and ensure compliance with health, safety, and hygiene standards.
Client and Stakeholder Management
• Act as the secondary point of contact for client requirements and operational escalations.
• Build and maintain strong relationships with clients, members, vendors, and internal stakeholders.
• Collaborate effectively with multiple departments to ensure seamless service delivery.
• Participate in client meetings and support business reviews.
Vendor Management
• Coordinate with vendors for maintenance, supplies, and service requirements.
• Monitor vendor performance and ensure compliance with service-level expectations.
• Manage vendor documentation, contracts, and service records.
Financial and Invoicing Management
• Prepare and process invoices accurately and within established timelines.
• Coordinate with finance and procurement teams for billing and payment processes.
• Maintain financial records and support budget tracking activities.
Data Management and Analysis
• Maintain accurate operational, membership, and business data.
• Analyze data trends and generate actionable insights to support decision-making.
• Ensure data integrity and timely reporting.
• Must have strong proficiency in Microsoft Office tools, particularly Microsoft Excel.
• Hands-on experience with advanced Excel functions and tools, including VLOOKUP, XLOOKUP, Pivot Tables, COUNTIF, SUMIF, Conditional Formatting, and other data analysis and reporting techniques.
Reporting and MIS Management
• Prepare daily, weekly, monthly, and quarterly reports for clients and management.
• Develop and maintain MIS reports using advanced Microsoft Excel skills.
• Track key performance indicators and present operational performance metrics.
Business Reviews and Presentations
• Create professional presentations for monthly and quarterly business reviews.
• Present business performance, operational updates, and key insights to leadership teams.
• Support strategic planning through data-driven recommendations.
Team Management
• Supervise and guide Customer Service Executive (CSE) teams.
• Ensure team productivity, service quality, and adherence to operational standards.
• Support staff training, scheduling, and performance monitoring.
Communication and Interpersonal Skills
• Demonstrate excellent verbal and written communication skills.
• Maintain a professional appearance and positive attitude.
• Effectively manage member interactions, feedback, and issue resolution.
• Foster collaborative relationships across departments and stakeholders.
Required Qualifications and Skills
• Bachelor’s degree in management, Business Administration, Sports Management, Hospitality, or a related field.
• 6+ years of experience in operations, facility management, fitness center management, hospitality, or a related industry.
• Strong expertise in Microsoft Excel, data analysis, and MIS reporting.
• Proficiency in PowerPoint and presentation development.
• Experience in stakeholder, client, and vendor management.
• Excellent communication, leadership, and interpersonal skills.
• Strong organizational, analytical, and problem-solving abilities.
• Ability to multitask and work effectively in a fast-paced environment.
• Must be open to working in rotational shifts between 6:00 AM–3:00 PM and 1:00 PM–10:00 PM from Monday to Friday, and 8:30 AM–2:00 PM on Saturdays.
