As Amherst continues expanding its operations in Costa Rica, we are seeking a Property Management Specialist to support our real estate and property management operations. This role plays a key part in ensuring the efficient coordination of maintenance processes, vendor communications, operational reporting, and service delivery across the portfolio.

The Property Management Specialist will support either Maintenance or Renovations-related operations, helping ensure work orders, service requests, vendor activity, billing, documentation, and reporting are handled accurately and within expected service levels.

Responsibilities:

• Serve as the primary point of contact for maintenance vendors and technicians, fostering strong professional relationships and ensuring effective coordination of maintenance and renovation activities
• Maintain working knowledge of the assigned primary product line, either Maintenance or Renovations, and apply that knowledge to support operational objectives
• Review, monitor, and update service requests, work orders, queues, cases, tasks, dashboards, and maintenance-related calls to ensure timely resolution and adherence to service expectations
• Schedule, prioritize, and assign work orders based on urgency, business needs, and vendor availability
• Utilize Salesforce, Yardi, and other operational systems accurately, ensuring complete documentation, detailed notes, and appropriate escalation of out-of-scope issues
• Investigate, reconcile, and resolve vendor billing discrepancies, invoices, and related payment concerns
• Generate, maintain, and analyze operational, performance, and ad hoc reports to support leadership decision-making and business requirements
• Participate in quality assurance reviews, coaching sessions, and feedback discussions, applying guidance from QA teams, Subject Matter Experts, Leads, and Regional Managers to improve performance
• Complete all required training and consistently meet expectations related to schedule adherence, attendance, productivity, quality, and service standards
• Proactively identify, communicate, and escalate operational blockers, process inefficiencies, system issues, and documentation gaps that may impact performance or customer experience
• Support cross-functional initiatives, special projects, and additional operational responsibilities as assigned by management
• Maintain a strong commitment to operational excellence, customer service, compliance with established procedures, and continuous process improvement

Requirements:

• High school diploma or equivalent
• Minimum of 1 year of experience in construction, property management, real estate, maintenance coordination, or a related field
• Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word
• Strong organizational and time management skills
• Excellent verbal and written communication skills
• Ability to manage multiple priorities in a fast-paced environment
• Ability to work independently while collaborating effectively within a team
• Strong attention to detail and ability to maintain accurate records and documentation

Preferred Qualifications:

• Experience working with property management or maintenance management systems
• Experience using Salesforce, Yardi, or similar operational platforms
• Previous experience coordinating vendors, contractors, technicians, or service providers
• Experience reviewing invoices, billing information, or resolving payment discrepancies
• Experience working in fast-paced, deadline-driven operational environments
• Previous exposure to maintenance, renovations, real estate operations, or property services

Functional Skills:

• Proficiency in Microsoft Office Suite, especially Excel and Outlook
