Summary
The Milestone Scheduler is responsible for coordinating, maintaining, and driving the update of a defined set of key project milestones across a portfolio of projects. This role is highly collaborative and requires frequent engagement with cross-functional stakeholders to gather updates, validate timelines, and ensure alignment with execution plans.
Unlike traditional detailed schedulers, this role focuses on maintaining a simplified milestone-based schedule that enables clarity, consistency, and actionable insights across a high volume of projects. The Milestone Scheduler plays a key role in driving schedule visibility, accuracy, and adoption, helping teams make informed decisions and maintain focus on critical delivery dates.
Success in this role requires strong communication, organization, and influencing skills, along with the ability to operate in service of execution teams and adapt to evolving project needs.
This role is not focused on building highly detailed schedules. Instead, it centers on simplifying and strengthening how key milestones are understood, tracked, and communicated across the portfolio. The Milestone Scheduler ensures alignment, drives consistency, and enables better decision-making through clear, reliable milestone data.
 
Roles & Responsibilities
  • Coordinate the development, update, and maintenance of a standardized set of ~17 key milestones across multiple projects.
  • Proactively engage with project managers, engineering, construction, procurement, and other stakeholders to obtain timely and accurate schedule updates.
  • Actively drive ownership and accountability for milestone updates across the project teams.
  • Ensure milestone schedules reflect current execution strategy, risks, and changes in project scope or timing.
  • Utilize Primavera P6 to maintain and update schedule data and ensure consistency across the portfolio.
  • Drive adoption and usage of milestone schedules by ensuring outputs are clear, relevant, and valuable to execution teams.
  • Provide regular reporting and insights on milestone status, including upcoming critical dates, risks, and variances.
  • Support analytics and reporting through tools such as Excel and Power BI to improve visibility and decision-making.
  • Identify opportunities to improve milestone tracking, reporting, and overall schedule effectiveness.
  • Act in service of project execution teams, ensuring schedule processes enable delivery rather than create burden.
  • Remain flexible and adaptable as the role evolves to meet the needs of the portfolio and stakeholders.

 Must Have
  • 3+ years experience in project scheduling, project controls, or related discipline.
  • Working knowledge of Primavera P6 is required.
  • Strong organizational skills with the ability to manage multiple projects and priorities simultaneously.
  • Proven ability to collaborate and communicate effectively across cross-functional teams.
  • Ability to proactively engage stakeholders and drive completion of deliverables.
 Nice to Have
  • Experience supporting reporting, analytics, or dashboards (Power BI or similar tools considered an asset).
  • Understanding of project lifecycle and key execution milestones is considered an asset.
