A well-established organization in western Pennsylvania is seeking an Accounts Payable Specialist to join its finance team. This organization has a long-standing reputation for serving the community and offers a supportive, team-oriented work environment.

Position Overview

The Accounts Payable Specialist will be responsible for managing the full AP cycle, ensuring invoices are processed accurately and on time. This role works closely with finance leadership, internal departments, and vendors to maintain compliance and support overall financial operations.

AP Specialist Key Responsibilities

• Process vendor invoices for a multi-entity organization

• The AP Specialist will maintain and update vendor records

• Process and review weekly AP check runs and manual checks

• Communicate with vendors to resolve outstanding balances and sales tax discrepancies

• Partner with managers to obtain proper invoice approvals

• The AP Specialist will prepare and enter monthly journal entries

• Maintain W-9 documentation and assist with year-end 1099 preparation

• Maintain strict confidentiality of financial and organizational information

• Support the AP Supervisor and Finance Manager with special projects as needed

Qualifications of the AP Specialist Role

• 2–3 years of accounts payable and/or general ledger experience

• Proficiency in Microsoft Excel and Outlook

• Experience with Sage Intacct is a plus

• Detail-oriented, highly organized, and able to manage multiple priorities

• Strong communication, time management, and problem-solving skills

• Team-oriented with a collaborative mindset
