Title: Executive Assistant / Administrative Professional
Location: Tampa, FL (On-Site)
Salary: $50,000 – $55,000 DOE

Key Responsibilities

The Executive Assistant / Administrative Professional will serve as the right hand to leadership, ensuring daily operations run smoothly and efficiently.

  • Provide high-level calendar management, meeting coordination, and travel arrangements for executive leadership
  • Act as gatekeeper and liaison between executives, clients, internal staff, and external partners
  • Prepare correspondence, reports, presentations, and confidential documentation
  • Coordinate internal meetings, take meeting minutes, and track action items
  • Assist with compliance documentation, licensing paperwork, and regulatory filings as needed
  • Maintain organized electronic and physical filing systems
  • Support office operations including vendor coordination, supply management, and facility-related needs
  • Help manage special projects and cross-functional initiatives
  • Ensure professionalism and confidentiality in all interactions

The Executive Assistant / Administrative Professional will play a critical role in maintaining structure, organization, and communication across the office.

Qualifications

  • 5+ years of experience in an Executive Assistant / Administrative Professional or senior administrative role
  • Strong calendar management and organizational skills
  • High level of discretion handling confidential information
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Ability to prioritize multiple tasks in a fast-paced environment
  • Professional demeanor with strong client-facing capabilities
  • Experience supporting senior leadership or ownership-level executives preferred
