Key Responsibilities of the Accounts Receivable/Billing Assistant
- Prepare, process, and maintain billing records, invoices, and financial documentation
- Ensure accuracy in billing rates, project details, and client information
- Partner with project managers and internal teams to gather billing details and ensure all billable work is captured
- Enter billing and receivables data into financial systems in compliance with company policies
- Monitor customer accounts, track payment activity, and follow up on outstanding balances
- Respond to client inquiries regarding billing issues and resolve discrepancies in a timely, professional manner
- Communicate effectively with internal teams and clients to address and resolve billing and payment concerns
- Maintain organized and up-to-date client files and financial documentation
- Assist with monthly, quarterly, and annual reporting related to billing and receivables
- Support general administrative tasks such as filing, scanning, and documentation organization
Preferred Experience & Skills of the Accounts Receivable/Billing Assistant
- 1–5 years of experience in billing, accounts receivable, or a related accounting role
- Strong understanding of billing and receivables processes
- Proficiency in Microsoft Office, especially Excel, and familiarity with accounting systems such as Microsoft Dynamics
- Excellent attention to detail and organizational skills
- Strong written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Comfortable working both independently and collaboratively
Education Requirements
- High School Diploma required
- Associate degree in Accounting, Finance, Business, or related field preferred (or equivalent experience)
