Job Description

Position Overview :

Our client has a need for assistance due to the current workload.


Schedule:

Tuesday, Wednesday, Thursday: 7:45 or 8am – 4:30pm (with a half hour lunch)

Responsibilities:

    • First thing in the morning, check kitchen supplies and restock where needed
    • Receptionist will sit at front desk and greet visitors to the office, will answer main # calls and take messages (4-5 incoming calls/hour, 5-7 voice messages left per day)
    • Will email messages and possibly route voicemails by email
    • May need to send emails related to messages from building management about a car being towed or a fire drill, etc.
    • If they receive a voicemail that’s not clear on who its intended for, call them back and get the right info to see what to do with that message
    • Working with delivery people to route packages to the appropriate people
    • Mail – this is done midday – will sort mail, there will be a cheat sheet of who gets what mail – then deliver mail to the appropriate employees – mail includes USPS, FedEx, UPS (FedEx and UPS delivery people will drop off in mailroom and the receptionist will let employee know that their package is in the mailroom)
    • Stocking of kitchen supplies including coffee, creamer, sugar, cups, etc. There are 4 kitchens (1 on each floor with high volume, other 2 have less volume) – some of the Staples orders could be up to 30 lbs.
    • Running the dishwasher and ensuring kitchen is clean at the end of the workday

    Requirements:

    • 6 months – 1 year of previous receptionist experience, have knowledge of a corporate office setting and the front desk responsibilities
    • Will mostly use Outlook and Teams (will book a lot of calendar invites through Outlook and Teams – should understand how to see people’s schedules and book based on availability, make a call through Teams, share a screen)
    • Comfortable utilizing Word
    • Someone who knows how to work at the front desk
    • Should be able to pick up new technology quickly
    • Degree is a plus but NOT required

    Salary: $20/hour - $23/hour
