Job Description

Position Title: People Operations Coordinator
Work Location: San Diego, California 92130
Assignment Duration: 5 Months (Possible Extension)
 
Position Summary
The People Operations Coordinator provides support to the People & Performance department across various HR functions including HRIS, employee onboarding/offboarding, compliance, personnel records, and reporting. This role also serves as the department’s point of contact for general employee guidance.
 
Key Responsibilities
  • Update and maintain the HRIS system; perform employee data entry, set-up, and changes; generate and distribute monthly reports.
  • Monitor and troubleshoot system integrations to ensure timely and successful data transmissions.
  • Coordinate new hire processes with key stakeholders to ensure a positive onboarding experience; prepare and deliver accurate new hire, termination, and change notifications.
  • Manage I-9/E-Verify process for new hires and updates to existing employees; audit and maintain I-9 binders; stay current on I-9 regulations and share best practices with colleagues.
  • Collaborate with HR Business Partners and other departments to perform offboarding activities, including sending termination notifications, processing required paperwork, distributing termination packets, collecting forms, and closing out employee/benefit files.
  • Monitor separation agreements, repayments, and coordinate associated payments.
  • Ensure appropriate documentation (e.g., offer letters, relocation summaries, signed job descriptions) is stored in HRIS employee profiles.
  • Support the Tuition Reimbursement Program and initiate new relocation benefit services with providers.
  • Assist with annual review and compensation adjustment processes (tracking, HRIS updates, payroll interface).
  • Prepare and distribute annual and new hire wage notifications to meet state and federal requirements.
  • Maintain required state and federal postings for corporate and New Jersey offices.
  • Manage job description files; assist HR Business Partners and Training teams with annual updates.
  • Conduct employment verifications and prepare credentialing letters for sales specialists.
  • Maintain immigration documentation files and assist with work visa filings.
  • Perform other assignments as directed.

Qualifications & Experience
  • AA degree or equivalent with a minimum of 2 years of Human Resource experience (or equivalent combination of education and experience).
  • Bachelor’s degree preferred.
  • Experience working within a pharmaceutical sales organization strongly desired.
  • Hands-on HRIS experience (preferably Workday) with knowledge of HCM data, system maintenance, troubleshooting, and reporting.
  • Knowledge of I-9 documentation and compliance.
  • Familiarity with state and federal employment regulations.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Strong data management, analytical, and problem-solving skills with excellent attention to detail.
  • Excellent verbal, written, and interpersonal communication skills.
  • Self-motivated, team-oriented, and proactive with the highest level of integrity and confidentiality.
  • Ability to manage multiple projects, priorities, and deadlines in a fast-paced environment with minimal supervision.
