Position Summary
 
The Reference Standards Proposals Coordinator is responsible for the end-to-end coordination, preparation, and management of Reference Standard certification, recertification and related proposals. The role requires strong coordination capabilities and technical knowledge to understand the scientific, technical, and commercial requirements of Reference Standard programs, analytical methodologies, and reference standard lifecycle management.
 
The position works closely with Business Development, Operations, PMO, customers, and the Corporate Proposals team to ensure timely proposal delivery, process compliance, Salesforce accuracy, effective stakeholder alignment, and continuous improvement of Reference Standard proposal processes.
 
Key Responsibilities
 
  • Compile, review, and maintain Reference Standard proposal request spreadsheets and tracking tools.
  • Coordinate and finalize the monthly, quarterly, or customer/campaign-based list of Reference Standard proposals to be prepared.
  • Prepare Reference Standard certification, recertification, and related scope-of-work proposals utilizing approved templates and costing/pricing models.
  • Salesforce/CRM tool management/compliance- Hands on experience on salesforce is mandatory
  • Manage and coordinate the complete lifecycle of Reference Standard proposals from request intake through final issuance by following company guidelines.
  • Monitor adherence to established proposal processes, turnaround times, follow-ups, status updates, and reporting requirements.
  • Coordinate with Operations, Business Development, PMO, customers, and proposal stakeholders to facilitate timely delivery of proposals and revisions.
  • Prepare meeting summaries, action items, and follow-up communications resulting from stakeholder discussions.
  • Maintain and update Reference Standard proposal templates, supporting documentation, master trackers and related resources.
  • Provide proactive status updates and escalation of issues that may impact proposal timelines or deliverables.
  • Flexible and adaption with the broader proposals SOP and other management requirements with respect to reference standard/related proposals
  • Serve as a cross-trained resource within the Corporate Proposals organization and provide backup support as needed.
  • Have to handle to Sales operations process with regards to Sales force/CRM by approving opportunities, taking care of dashboard issues and coordinating with BD’s & stakeholders on opportunities- Preferred but not mandatory skill.
 
Education & Experience
 
  • Bachelor’s or master’s degree in chemistry, Pharmaceutical Sciences, Chemical Engineering, Biochemistry, Life Sciences, or a related scientific discipline.
  • Minimum 5-7 years of experience in proposal management, sales operations, project coordination, pharmaceutical services, analytical services, or a related function.- Any one field experience
  • Experience working within a pharmaceutical, CDMO, CRO (analytical testing or manufacturing environment is preferred.
  • Experience with CRM systems, preferably Salesforce is highly preferred.
 
 
Technical Knowledge & Skills
 
  • Strong understanding of Reference Standard certification and recertification programs.
  • Ability to understand technical proposal requirements, analytical methodologies, Certificates of Analysis (CoA’s), reference standard qualification requirements, stability considerations, and related scientific documentation.
  • Working knowledge of proposal development, pricing coordination, and commercial documentation.
  • Proficiency in Salesforce Opportunity and Quote management.
  • Strong skills in Microsoft Excel, Word, PowerPoint, and proposal tracking tools.
  • Excellent organizational, documentation, and reporting skills.

  • Maintain accurate and up-to-date proposal trackers, templates, Salesforce records, and supporting documentation.
  • Monitor and manage proposal pipelines, timelines, risks, and stakeholder expectations to support on-time proposal delivery.
