Job Title: Project Coordinator II
Location: Redmond, WA

Job Description:
The coordinator is responsible for managing request intake and logistics execution for customer visits. The Coordinator plays a critical role in creating a world class customer experience for our guests, which are primarily executive level customers. This includes providing onsite logistics support for the EBC, greeting guests and escorting them to their briefing room, and carrying out setup/breakdown responsibilities for each briefing. It also includes remote coordination of facility access, room booking, catering order & deliveries, and parking reservations for tours of our other facilities. A Project Coordinator thrives in a fun and fast-paced environment, this position requires heavy communication across teams, utilizing a wide variety of software tools to navigate logistics, research and review policies, and identify and communicate effective solutions. The Project Coordinator will work within a team environment as well as communicate internally with other departments.
 
Primary Objectives
  • Ensure Executive Briefing Center is customer-ready at all times.
  • Setup briefing rooms prior to each briefing with materials including printed materials, supplies, and swag.
  • Work from EBC Coordinator Welcome Desk, greet guests and visitors, provide coat checking, provide luggage storage, and escort them to their briefing room.
  • Qualification assessment of briefings based on published checklist and availability.
  • Coordinate support with internal and external teams and vendors (Catering, Tech, Transportation, etc), maintain the relationships to ensure consistent quality of service.
  • Manage all logistical communication to respective stakeholders.
  • Manage briefing supply inventory and ensure all storage areas organized and place reorders when needed.
  • Ensure drink refrigerators and snack bar are stocked.
  • Breakdown briefing rooms after each briefing.
  • Provide assistance with processes for facility access.
  • Meeting all performance and quality metrics
  • Initiating process improvement projects within the department and driving them through to completion
  • Additional duties as determined by the EBC lead.
 
Basic Qualifications
  • Customer service skills with executives.
  • Strong verbal and written communication skills.
  • 3+ years of experience in a high-volume customer-facing role.
  • Ability to manage and prioritize multiple tasks and responsibilities simultaneously.
  • Excellent organization, planning, and time management skills.
  • Ability to be on-site at the Executive Briefing Center in Redmond, WA daily.
  • Working knowledge of Microsoft Office Applications
  • Ability to work evening overtime as required
  • Authorized to work in the US without sponsorship
 
Preferred Qualifications
  • Experience in an executive briefing program, executive engagement, or customer tour program is a plus or experience in luxury customer focus hotels/resorts and/or luxury restaurants.
  • Proven record of cross-team collaboration and ability to influence decision making.
  • Creative problem solver.
  • Experience managing a shared team Outlook inbox in addition to their own.
  • Experience with Amazon Chime, Slack, and WorkDocs.
  • BS/BA degree in hospitality, international reactions, marketing, or equivalent related experience
