Job Description

Job Title: Project Coordinator I
Location: Remote
Duration: 12 months (Possibility of extension)
 
Summary:
  • The project coordinator is responsible for managing administrative aspects of client and company projects, tracking and monitoring of project progress with regards to deadlines and client needs, assisting in scheduling and logistical coordination, and communicating frequently with team members and management.
  • Specifically, this role will lead the coordination of Quality Assurance (QA) analysts working on various data collection and annotation programs supporting Speech and Computer Vision technologies at Meta. This role will help with prioritization of workloads while enabling consistency across languages supported by each QA.
 
Job Roles and Responsibilities (R&R):
  • Enables the QA team through communicating priorities, trouble-shooting blockers (e.g., tooling fixes), and task-tracking
  • Coordinates deadlines on all deliverables (e.g., Quality reports)
  • Helps to scale best practices across programs and languages
  • Assists in monitoring teams progress and coordinating schedules
  • Coordinates vendor and internal stakeholder support efforts to improve data quality
  • Assists in preparing Quality Improvement progress and planning documentation when necessary
  • Attends all vendor and internal meetings pertaining to project as needed
  • In one word, this position can be summarized as a “catalyst.” There are various projects going on at the same time, and things move very quickly here. Project Coordinators help the team by listing out all the issues and business needs we currently have on the table and suggesting what we should do moving forward. Thus, the most important mindset you need to have been being proactive (a.k.a. go find how you can contribute rather than waiting for someone to give you instruction). No one is going to blame you for messing something up by trying hard, so don’t be afraid to take action.
Skills:
  • Previous project coordination experience
  • Excellent customer service skills
  • Ability to work in a team environment
  • Computer knowledge and interest
Must-Have Skills:
  • Some experience in project coordinator/manager or quality assurance
  • Showing leadership in previous roles (implementation)
 
Nice-to-have Skills:
  • Proficient or above in other targeted languages (French, Italian, German, Spanish, Mandarin, Korean, Japanese)
  • Experience in big tech industry (Apple, Microsoft, Google, etc.)
  • Project management certification or machine learning/AI certification
 
Years of Experience:             
  • Around 2 years of experience
ASR (Automatic Speech Recognition) Transcription:
  • Monitor questions raised by vendors.
  • Ensure weekly QA reports are above our standard
  • Check weekly business review (WBR) decks that get provided by the vendor
  • teams and make sure they are doing a great job (check metrics).
  • Help coordinate the impromptu & new projects as they come up.
 
OCR (Optical Character Recognition):
  • Similar to above.
 
Live Translate:
  • Monitor questions raised by vendors.
  • Check WBR decks that get provided by the vendor teams and make sure they are doing a great job (check metrics)
  • Assigning annotation queues for vendor teams to work on.
  • Checking the project status and report out progress
 
QA work:
  • Perform random audits and report quality metrics.
  • Check their progress on a regular basis to make sure vendors are on track to meet a deadline.
  • QA reports with quality metrics
 
Guidelines:
  • Become and expert on annotation guidelines and ensure these are updated on a biweekly/monthly basis
  • When the change is needed, it’s your responsibility to coordinate with our QAs to align on the expectations and deadlines.
 
Big Scope:
  • For each project, there are so many documents, group chats, spreadsheets to a point you might get confused on what we are working on. To keep your eyes straight and potentially organize those messes yourself, it’s very important to understand what we are doing at a bigger scope. Try to learn as much as you an about the product we are trying to launch, the meanings of each document/spreadsheet/group chat, and so on. Resources are available everywhere, so it’s totally up to you to decide how committed you want to be to your role.
 
Communications:
  • Since our team is dispersed across the states and the globe, communication is very important for success. Before each 1:1s with your project managers or QAs, make sure what you want to discuss and get clarification on. Responding quickly is also a huge component of this role. Try not to put things aside and rather face them right away.
 
How Performance is Evaluated:
  • Start your day on time. Attend meetings on time. Effectively stay on top of communications (workchat, email, calendar, instructions put in the agenda). Communicate changes in your schedule. Alert manager to blockers preventing you from doing your work. Proactively seek help when needed.
  • We know our instructions are complicated and work will be spot checked on an ad hoc basis to ensure consistency in approach. You will receive feedback via chat normally but feel free to arrange a meeting with the peer who spot checked if you don’t understand your feedback.
  • Tips to preserve your productivity when performing Quality Audits are:
    • It’s important to collaborate, but equally important not to get too distracted.
    • Skip jobs that you are not sure about rather than wait for a response to a question. You can skip jobs by clicking ‘next’ instead of submitting.
    • If you notice that you’re significantly behind the average for the team target (i.e.,10% of jobs annotated that week pulled into the Audit queues), please proactively reach out to your peers or Paige Wessels and they can help with pointers.
 
Bonus - Leadership and Collaboration: There are many ways to do this, but here are some ideas.
  • Drive clarity for the group by asking and prioritizing the most helpful questions in meetings.
  • Help onboard new hires and answer peers’ questions as needed.
  • Identify ideas to improve the workflow, ex. “Rater productivity would increase by x% if we changed a detail in the UI or guidelines.”
  • Call out error trends in vendors’ work by adding to the bottom of the agenda.
Education/Experience:
  • Bachelor's degree in a technical or business-related field.
QA Project Coordinator (PC): General Expectations Schedule
  • 8:00am-4:30pm your local time. It could be a bit flexible depending on your preference, but you can treat 9:00am-1:00pm (PT) as almost core hours because we have the majority of the meetings & chats within those four hours. There are core meetings you are expected to attend. Those could change anytime, and new ones could also show up. 1:1s or small group meetings are held regularly. You’ll find yourself needing to set up lots of short calls to get clarification on something, help QAs out, and sync with Project Managers or other internal stakeholders.
