Job Title: Project Coordinator (Content Operations)
Location: Cupertino, CA 95014

Summary
We are seeking an experienced financial and content operations coordinator to support its global content initiatives. Reporting to the US-based Content team, this key role engages directly with Books business leads; internal departments (such as Operations, Procurement, Finance, and Reporting); and external partners and vendors to ensure initiatives are on schedule, on budget, and executed to contract and operational standards. 

This is an exciting opportunity to gain an in-depth understanding of the business and add demonstrable value. Working cross-functionally, you will own important aspects of content team initiatives. Responsibilities include budget and P2P management with vendors using AirTable, and deadline and deliverable tracking using AirTable and other project management platforms (e.g. Quip). This role also involves content management/asset management. We don’t require prior experience with digital content (though it’s a plus), but we do require a flexible, analytical, highly organized individual who learns quickly and can competently review and analyze information. Your work could range from reviewing individual content assets to retrieving, sorting, and evaluating content data at scale. You will also assist with special projects as needed.

Our ideal candidate is extremely organized, comfortable balancing multiple priorities in a fast-paced business environment, and a proactive communicator. You will manage internal and external relationships on a day-to-day basis, and collate information from multiple sources to generate comprehensive updates, action items, and documentation. You must also be a highly proficient user of Excel and familiar with AirTable. Attention to detail and analytical problem-solving skills are essential.

Key Qualifications:
  • 3-5 years of related financial, administrative, and workflow management experience in a fast-paced environment (experience with international projects is a plus).
  • Track record of establishing and/or improving internal systems for tracking documentation, deadlines, deliverables, and assets.
  • Proficient in Excel, AirTable, and SAP (and SAP-related systems).
  • Analytical/problem-solving skills at the macro and micro level.
  • Highly organized.
  • Excellent oral and written communication, interpersonal, and presentation skills.

Description:
  • Perform key budgeting and forecast activities for internal review with Content team, global DRIs, and leadership.
  • Create and manage detailed project records for terms, deliverables, deadlines, invoicing, and spend.
  • Work with Procurement team to set up new suppliers within the system and locate existing supplier information.
  • Create POs for budget line items, and resolve discrepancies between forecast and actual spend.
  • Track supplier invoicing and payment according to project requirements, progress, and deadlines.
  • Own data sources for financial dashboards and other aspects of our internal reporting system.
  • Work with major publishers on audiobook operations.
  • Organize and evaluate content suitable for Books initiatives.
