Title: Production Administrative Support Duration: 6 months Location: 3001 NE 145th Street North Miami, FL 33181 Shift: Our normal business hours are 9 am - 6 pm M-F. All candidates must be available to work those hours. Some weekend and overtime work may be required.
Overview:
Responsible for providing thorough and expeditious onboarding experience for fleetwide production cast members, focused on successful completion of the employment documentation process (medical, visa, background check, etc.), based at the company entertainment studios.
Operates in a team environment and is expected to work in a collaborative way with leadership team and colleagues, as well as independently, as required.
Works closely with entertainment operations personnel and performer administration team members and leadership.
Essential Responsibilities:
Supports the organization and collection of all pre-employment documentation (visa information, medical clearances, background checks, etc.) for over 1,200 production cast members, to support both shoreside training and shipboard operations
Utilizes company database and other systems to process and track documents through submittal and final approval process
Responsible for collecting and assembling all new hire documentation, including verification of completion
Communicates internally with support teams and departments, as well as with cast members directly to facilitate onboarding process
Supports with logistics pertaining to cast or creative team travel and accommodation arrangements
Facilitates inquiries from cast members and provides follow-through with problem resolution
Assists with specialized administrative needs, as required, to support day-to-day operations of the the company entertainment studios
Provides special project assistance and coordination as assigned by company Productions management
Participates in team meetings, as well as one-on-one, and/or small group work sessions
Must also be productive in independent work settings
General administrative assistance and support for office operations, as needed
Skills:
Attention to detail and excellent organizational skills required.
Successful experience working on special projects preferred.
Effective verbal, written, and listening communications skills, plus strong research/analytical abilities, are also required.
Ability to work efficiently under pressure and able to meet deadlines.
Must be able to effectively handle many different projects at once, problem-solve and multi-task.
Knowledge:
Understanding of computer systems to include Microsoft Word, Smartsheet, Excel, Lotus Notes, PowerPoint, Outlook, etc.
Language Skills:
Foreign language speaker a plus; however, not necessary.
Desired Education:
Bachelor's degree preferred from an accredited college or university in Communications, Business Administration, or similar area.
Additional Information:
Experience in the cruise industry shipboard and/or shoreside a plus.
