Role Mandate: The team is looking for a contractor for 1 month as coverage for a vacation. This role is responsible for maintaining a welcoming environment for visitors, supporting internal staff needs, and performing essential administrative tasks to keep office workflows running efficiently.
Role Responsibilities: Meeting Rooms
Monitor Meeting room calendars.
Preparing meeting rooms for internal and external meetings.
Stock meeting room fridges and coffee stations.
Office Visitors (External)
Offer refreshments and escort them to designated meeting room.
Office Notifying admin or professional of arrival.
Visitors (Internal)
Reserving visitor offices and workstation.
Arranging visitor access cards.
Preparing offices prior to arrival and after their departure.
Showing visitors to their respective workstations and giving them any relevant information (re. bathrooms, coffee, office tour)
Ensuring visitor cards are returned.
Mail
Send and receive mail (CP, local couriers, UPS, interoffice)
Office Floor Checks
Ensuring coffee stations are stocked & clean.
Checking supply levels for each group and ordering supplies accordingly.
Ensure all TVs are on and working – Changing channels when requested.
Making note of any messes or damages – Submitting workorders accordingly.
Submitting Work Orders
BGIS (Cleaning, damage, lights, etc.)
Staying up to date on what is going on in the building
Sending floor notices when required.
Assisting Admins
When necessary, lend a hand to admins. (printing, binding, supply orders, couriers)
Assist with setting up catering for meetings when requested, ensuring the room is set up nicely, and cleaning up after. (Ordering the catering when it is requested)
Will work closely with the Vancouver Office Coordinator and local BGIS Facility Manager.
May require assistance on various office projects, changes, desk set ups/take downs, signage etc.
Must Have Skills:
1-2 years previous receptionist experience in a corporate setting
Ability to take on various office tasks and multi-task
Nice to Have Skills:
Previous Banking Experience
Has operational experience
Detail oriented and takes initiative
