Job Title: Manager, Internal Meetings
Location: Duluth, GA 30096

Duration: 06 Months
Note: This will be a hybrid role in Duluth, GA working 2-3 days a week onsite. 


Details:
  • The purpose of this role on the Congress & Meeting Management (“CMM”) team is to deliver best-in-class internal meetings for the Human Pharma + Animal Health business unit of Company.  The role is accountable for driving engagement, efficiency in cost, positive attendee experience, and successful achievement of the strategic goals of the meeting owner. 
  • Responsible for the execution of internal meetings against Internal Meetings SOP and Internal Meetings Playbook and Internal Meetings FAQ that outline coordination between CMM, Sourcing, Compliance, IT, Finance, and other related functions along with external vendors that lead to optimal attendee experience, efficiency, and compliance. Responsible for suggesting best practices for internal meetings using iterative research and assessment of past meeting KPIs. 
  • Exhibit continuous learning mindset on the execution of meetings and share learning and best practices with CMM team.
  • Ensure coordination of meeting planning activities between internal stakeholders and external vendors as Lead Planner for assigned Tier 1 and 2 meetings. 
  • Performs all Company business in accordance with all regulations (e.g., EEO, FDA, OIG, PhRMA, etc.) and Company policy and procedures.  When violations are noted/observed they are to be immediately reported to upper management.  Demonstrates high ethical and professional standards in all interactions to maintain the Company’s reputation. 
  • Understand interdependencies that exist within the current CMM structure and execute against strategy and guiding principles  
  • As Lead Planner, collaborates with Meeting Owners on the content and structure of their internal meetings 
  • Acts as a liaison between the CMM team and group functions (e.g. IT, Compliance, Legal, etc.) and external partners on internal meetings 
  • Engages supporting parties on-site at meetings to ensure they run smoothly and meet the expectations of all attendees and other stakeholders 
  • Knowledge of meeting interdependencies and best practices, including technology capabilities and venue considerations 
  • Experience with creating and managing large scale meeting budgets and finding creative cost saving solutions 
  • Knowledge of Sunshine Act, PhRMA code and other regulations that impact health care provider participation in internal meetings.  
  • Adaptability and rapid problem-solving skills to adapt to the needs of the business changing, internal processes shifting, and evolution of content and format for attendees of internal meetings 
  • This position helps execute the vision of the CMM team for internal meetings.   
Skills:    
  • Seven plus (7+) years’ combined experience in internal meetings
  • End-to-end logistical experience planning large scale meetings of 200+ attendees 
  • Knowledge of virtual meeting platforms and apps 
  • Experience leading project teams comprised of internal and external resources
  • Ability to drive multiple initiatives forward simultaneously  
  • Experience negotiating with and managing external vendors 
  • Strong business acumen and judgment 
  • Proven success working cross functionally with high emotional intelligence
  • Continuous Process Improvement knowledge with a successful record of delivering results
  • Ability to find solutions through ambiguous and challenging circumstances

Education:    Bachelor's degree from an accredited institution required.
