Summary
A member of the Operations Team, and reporting to the Associate Director of Development Operations, the Grant Operations Assistant (temp) provides critical operations functions in support of the Foundations Relations (FR) and Corporate Partners (CP) teams seeking gifts and grants for various programs, clinical initiatives, and education programs. This position maintains the resources to support the activities of the Development Office, ensures consistency of operations, and creates and promotes data and operational efficiencies.

The successful candidate will be able to perform in a fast-paced, deadline-driven environment. They will have data management systems experience, a command of Excel, and intellectual curiosity; be self-motivated; and embrace making decisions independently. This position requires an individual who is exceedingly detail-oriented and organized who possesses a determination for accuracy and has the ability to navigate complex databases.

Essential Responsibilities/Duties
  •  Maintain the integrity of the Raiser’s Edge/NXT database specifically for Opportunities, Actions, and Notes for FR and CP teams, with some monitoring of InfoEd.
  •  Monitor the LOI, Planned, Pending, Awarded, Declined, and Withdrawn Gift and Grant Opportunity records within the Raiser’s Edge/NXT and InfoEd databases for FR and CP teams.
  •  Review all opportunities submitted by officers to ensure accuracy.
  •  Retrieve and document notices of grant agreements and grant contracts; upload to corresponding Opportunity record in NXT database.
  • Enter, review, monitor, and assess Action records weekly in order to ensure timely response to foundation deadlines and reporting: Send related reminders to FR and CP team members; track past due and upcoming gift/grant reports, distribute to FR and CP team, and update NXT as appropriate.
  •  Working with Prospect Development and Research Team, create pending future Action records for foundations determined viable through prospecting.
  •  Reconcile NXT Opportunity and Gift records with projections on a monthly basis to ensure accuracy of each Pending, Awarded, Declined gift/grant submission.
  •  Actively identify and pursue opportunities to improve FR and CP operations by troubleshooting, resolving issues, and leading data cleanup projects.
  •  Manage, coordinate, and maintain the integrity of filing systems; ensure proposal attachments and other frequently needed data are current, e.g. patient demographics, audited financials, board lists, letters of recommendation, etc.
  • Anticipate and provide timely response to FR, CP, Operations, and Development requests for information, service, and assistance.
  • Use Asana gift forms to enter upcoming gifts and grants into NXT record.
  • Schedule and track payments, future payments, create invoices, pledge reminders, draft acknowledgements, and other stewardship activity and outlined in gift/grant agreements and MOUs.
  • Follows department policies and procedures, and adhere to industry best practices.
  •  Utilize hospital’s values as the basis for decision-making.
  • Directs and manages own timeline for all responsibilities listed above.
  • Assists the Associate Director of Development Operations with other duties in support of FR, CP, and Operations as necessary.
EDUCATION:
• Bachelor's Degree required.

EXPERIENCE:
• Two years of experience focused on data analytics, process implementation and improvements in a nonprofit or for-profit field.

KNOWLEDGE AND SKILLS:
• Knowledge of fundraising procedures and processes is preferred.
• Demonstrated ability to take complex data outputs and synthesize into understandable reports.
• Familiarity with CRM and CRM-related applications and database operations, preferably with those used in development. Experience with Raiser's Edge, Raiser's Edge NXT, and/or InfoEd preferred.
• Mastery of Excel, the creation and utilization of pivot tables.
• Proficient with PowerPoint or the equivalent software.
• Ability to manage multiple tasks in a deadline-driven environment.
• Proven track record with attention to detail, precision, multi-tasking, and problem-solving.
• Strong written communications skills.
• Superior interpersonal, communication and customer service skills. Comfort managing up.
• Discretion in handling sensitive and confidential information
• Ability to work independently and as part of a team
