Job Title: Executive Office - Administration - Administrative Assistant (Floater) Duration: 6 Months Location: New York, NY Duties: The Executive Office is seeking to add a highly motivated administrative assistant (floater). This role involves supporting and managing the schedules and communications of the firm’s top executives. The role requires exceptional prioritization and communication skills, as well as the ability to adapt to a wide range of working styles and responsibilities. Previous experience in supporting senior executives and the ability to work well under pressure in a busy, fast-paced environment is preferred.
Job Duties
Maintain extremely detailed calendars and related logistics
Handle phone calls and interact with senior business leaders in a professional and effective manner
Coordinate senior-level meetings and conference calls with both internal and external stakeholders
Coordinate domestic and international travel
Track requests from clients and internal stakeholders to ensure responses are provided in a timely manner
Coordinate with internal stakeholders on briefing and presentation materials ahead of meetings
Perform other tasks, including but not limited to preparing correspondence and other communications, file organization, research and archiving
Process expense reports
Maintain understanding of firm policies

2 - 3 years of prior work experience
Prioritize and multi-task in a deadline driven environment, as well work well under pressure in a busy, fast-paced environment
Flexibility, which is critical to succeeding while covering and adapting to the needs of multiple executives
Resourceful and efficient problem-solving and decision making
Highest degree of integrity, professionalism and discretion required. Need to be able handle highly sensitive and confidential information
High attention to detail and strong organizational skills
Excellent interpersonal and communication skills, comfortable working with individuals at all levels of the organization
Strong proficiency in Microsoft Office (i.e., Outlook, Word, Excel, PowerPoint), Adobe, Zoom and Concur)
Team player with a positive attitude
Knowledge of general business, corporate and government cultures is preferred
