Program Overview
The Admin Specialist Program is a scaled administrative team that supports core areas of admin work including calendar management, expense processing, and travel coordination. The team remotely supports multiple leaders, aiming to give them back valuable time so they can focus on their most critical and impactful work.
Responsibilities
Core Administrative Support
Provide remote, high-volume support for complex calendaring, travel arrangements, and expense reporting for multiple leaders
Learn and utilize internal and external tools to manage calendars efficiently
Communicate effectively with leaders to understand business priorities and tailor support accordingly
Collaborate with other Admin Specialists and leaders for seamless meeting coordination
Offer proactive time management recommendations based on leader priorities
Provide short-term in-team coverage as needed, if bandwidth allows
Basic Qualifications
2+ years of experience providing administrative support to two or more executives
2+ years managing calendars, travel, and expenses for multiple leaders
Demonstrated ability to prioritize multiple tasks and activities effectively
Proficient in Microsoft Office suite
Ability to exercise sound judgment and discretion, navigating company policies and practices
Experience working with a Customer Relationship Management (CRM) or ticketing system
Education
Bachelor’s degree (BA/BS) preferred
High school diploma or equivalent required
Experience supporting executive-level leaders is highly preferred
