Job Description

Job Title - Executive Admin Assistant (Onsite)
Duration - 12 Months 
Location - Alameda, CA, 94502
Shift: 9:00am-5:00pm
Minimum pay rate starts from - $32/hr on W2

Job Description:
  • The person will be supporting 12 team members and handling their calendars, meeting scheduling, events, PPT, ordering supplies, handling travel arrangements, expenses/billing, etc.
  • Will use a system called Onit which is a ticketing system to triage and assign tickets to legal team members
  • There might be some light Project Management work at times following/tracking meetings ensuring project is moving along as planned.
  • Looking for high quality type of experience 5 years plus with a Bachelors Degree and would consider experience to be of less quality when the person has job-hopped or is non-relevant.
  • Will consider 3 years of Solid work experience and a Bachelors Degree
  • Prefers Corporate level / C-level experience over experience in a law firm
  • Prefers experience within a Matrix Enterprise Environment or corporate environment supporting legal team as they will be supporting a commercial team in-house that is transactional/reviewing contracts
  • Top 3 attributes looking for are: 1) Collaborative nature easy to fit with the culture; 2) Being Pro-Active as this is a busy team and fast-paced, very demanding business team needs and will rely on Admin. to anticipate team member's needs; 3) Organization skills - organized and able to handle competing priorities for the various team members.
  • Exp working in a large company is a plus.
  • Healthcare is a plus.
  • This is a commercial legal team. In-house transactional. Reviewing contracts. This exp would be great
  • Paralegal degree – they may want exposure. They might work.
  • Corporate legal and corporate enterprise is preferred.
  • How would you understand the top skills from a resume? - initiatives. If they have initiated something that is out of their scope of work. They stepped aside from their day-to-day tasks. Generally, a lot of that comes doesn’t come out in the resume but they can mention in resume specifically if they have been a part of red cross society. Examples of working in a team environment. Team activities and projects. Please mention that in the resume.
  • Would you be open to candidates who has supported at an executive level to VP, CEO who can make arrangements. – yes, would be open to this exp.
  • Travel- they might have to go the south campus or north campus for delivery of documents. It would be required once a month. They wanted to raise the awareness for the travel part. Pull drivers report if required.
