Job Description

Job Title: Document Control Coordinator
Duration: 1 Year
Location: Thousand Oaks, CA
 
Description:
Will assist with a document archival project - needs document control experience.
 
The successful candidate will be part of the Quality Management System, working in-person, at the Thousand Oaks Campus, in the Document Management File room.
 
Basic Qualifications   
Associate degree and 2 years of experience OR 2 years in a technical school setting with hands-on experience OR High school diploma / GED and 4 years of experience
 
Top 3 Must Have Skill Sets:   
• Must have basic understanding of the cGMPs and good documentation practices
• Strong organizational skills
• Attention to detail oriented, including the ability to proofread documents or electronic entries
• Able to effectively and professionally, communicate with clients (verbal and written)
• Basic project management skills
• Administrative support skills
• Professional client engagement skills
• Able to troubleshoot problems and resolve issues
• Experience using various digital software, including:
o Microsoft suite of products: MS Outlook, Word, Excel, PowerPoint, Sharepoint site, etc.
o Smarrtsheet and Forms creation
 
Day to Day Responsibilities:  
• Address client requests and inquiries associated with the document management and the Infolinx system
• Pull reports, evaluate data, and support performance metrics reporting
• Provide on-site support with audits and inspections
• Provide on-site support with document archival related tasks, including quality review
• Lead or co-lead projects or initiatives as needed
• Maintain and/or edit team Sharepoint site
• Ensure adherence to Good Manufacturing Practices (GMP) and Good Documentation Practices
• Manage the Document management Archive file room to ensure organization, cleanliness, and inspection ready state
• Perform quality check of submitted documents and ensure good documentation practices
• Work with clients to ensure errors are corrected and addressed to support off-site archiving
• Engage in an effective and professionally conducted communication with clients (verbal and written, as applicable)
• Lift or move boxes up to 15 lbs.
• Follow step-by-step instructions and perform repetitive functions consistently and accurately
• Work both independently, as well as in a team setting
• Scan and loading of documents into the Electronic Document Management System
• Educate clients on DMS archival process, answer general archival related questions, troubleshoot problems, and address issues/complaints
