Job Description

Job Title: Contracts and VM Analyst Sr
Duration: 12 months (Possible contract to hire)
Location: 100% remote
Schedule: 8-5 PM EST, M-F (OT-Possible w/approval)
 
Position Summary:
The Contract and Vendor Management Analyst Senior is responsible for creating and reviewing contract terms and conditions with Contract Negotiators and customers, typically less than $500,000 in the Company's spend on goods and services. Ensures that all negotiated deals are properly managed through contract execution. Collaborates with others to drive vendor performance and determine what capabilities and product offerings meet the needs of the business.
 
Degrees or certifications required/Years of overall experience required:
  • No degrees or certification; HOWEVER, the contractor must have 2-5 years of IT Sourcing experience
 
Preferred Skills:
  • Basic understanding of negotiating software
  • Must have Customer Focus
  • Ability to research and maintain awareness of emerging technology terms and concepts
  • Analysis and problem-solving skills (this job does not follow an A-Z process check-off list. It pivots and things come up and research of old contracts and answering questions from internal and external stakeholders will throw the process off, so it's important for this contractor to be flexible and be ready to problem solve and to ask questions.
  • Organizational skills and ability to work on multiple projects and/or assignment simultaneously
  • Listening, verbal and written communications skills with the ability to present information to internal teams
  • Ability to manage negotiations for multiple contracts concurrently. (50+ contracts annually- vary in complexity)
  • Attention to detail, but be flexible to pivot
  • Must know how to prioritize the work (some contracts have a life cycle of 30, 60, 90 days, etc).

Day to day responsibilities:
  • Drive ALL aspects of contract negotiations, including partnering with internal stakeholders: Legal, Information Security, Risk & Vendors
  • The contractor will be working in Coupa, in addition to Excel spreadsheet
  • Presenting to leadership
  • Leading customer meetings
  • Develop and maintain relationship and set expectations w/external and internal stakeholders.
  • Complete reporting requirements daily, weekly, monthly

Will the contractor be working independently, or will they be collaborating with team members and/or a manager to complete tasks?
  • This role will require an individual to be able to self-manage work, but will require partnership with multiple areas, as noted above

How will performance be measured:
  • Based on their work in a timely manner and by internal and external customer feedback

What's one thing the manager will ABSOLUTELY be looking for on the resume?
  • Previous experience with negotiation- specifically in software (IT space): This contractor must enjoy negotiating and getting the best deal; they need to question things and be excited about saving money for the company.
  • Preferred Industry experience: insurance and banking.

If reviewing multiple resumes that have similar experience and skill set what will set one candidate apart from the other:
  • Someone who likes to problem solve and find out "why" and someone who truly pays attention to detail.

Training:
  • Generic onboarding and then shadowing with negotiators (2 weeks) and then reverse shadowing
  • After 2-3 weeks of working, the manager will know if they'll be successful.
 
Interview Process:
  • 1 round of video interviews with two people
  • Make Note: Interviewees will be asked to speak on behalf of their Software negotiating experiences.
The Manager wants someone who is engaged in sharing their experiences with an end-to-end contract life cycle. The manager will be looking for someone who is confident and who is ready to negotiate, be a subject matter expert and work with the internal stakeholders.

Essential Duties & Responsibilities:
  • Develops and maintains relationships with internal and external stakeholders (e.g., vendors, business and platforms).
  • Manages and monitors vendor performance per contract agreements.
  • Develops SLAs and Key Performance Indicators (KPIs) for inclusion in contract negotiations. Drives continuous improvement in vendor performance against appropriate SLAs and KPIs.
  • Facilitates meetings between vendors and Company stakeholders (e.g., gathering requirements, identifying solutions, vendor performance).
  • Functions as the point of contact for contract and vendor service issues from business partners and assigned vendors.
  • Administers the vendor feedback process, which includes collecting, integrating, analyzing, and communicating information. Makes suggestions for process improvements.
  • Coaches and provides on the job training to others on a variety of vendor management topics
  • Works with appropriate stakeholders to prepare Requests for Proposals (RFPs) and Request for Information (RFIs) for new vendor technologies and assists with vendor selection.

Education/Experience:
  • Bachelor's Degree in a business or related discipline (e.g., Business Management) and a minimum of four years of experience in business, sourcing and/or developing and maintaining vendor relationships.
  • In lieu of a degree, a minimum of six years related work experience in business, sourcing and/or developing and maintaining vendor relationships may be accepted.

  • Ability to coach and help others learn knowledge or skills in a specific area

Physical Requirements / Working Conditions
  • Typical office environment requiring the use of typical office equipment e.g., computers, phones, etc.
  • Computer keyboarding, computer monitor and mouse use including reaching forward, grasping, finger and wrist manipulation, and neck bending and turning near vision is necessary for computer monitor use.
  • If working in an Emerging Workspace, or similar working arrangement, lifting of laptop equipment, files and or personal belongings weighing 10 lbs. or less is required.
  • May require long periods of sitting.
  • May require prolonged repetitive use of the upper extremities.
