Job Description

Title: Content Specialist 
Duration: 17 Months 
Location:  Quebec, Montreal area, (
This is a hybrid, two days a week. Tuesdays and Thursdays)

Summary of the position:
The Content Specialist is responsible to work under the direction of the Library Content Manager to ensure the initial loading of compliant, consistent, accurate, and on-brand content to the RFx response content library. This includes organizing, categorizing, and updating documents to ensure easy access and retrieval. The Content Specialist will collaborate with team members to ensure all content is up-to-date and aligned with the organization’s goals.

Main tasks of the position
  • Library Content Management:
  • Support the definition and documentation of standardized nomenclature, ensuring consistent tagging, labeling, and categorization of content for easy retrieval.
  • Support the creation and documentation of best practice guidelines on how to create and tag content, to ensure consistency and best practices established.
  • Support the creation and documentation of quality guidelines to ensure high quality content.
  • Interface with subject matter experts (SMEs) to ensure compliant, consistent, accurate and on-brand content, and standardized service and supply content to manage commitments that can be delivered.
  • Interface with subject matter experts (SMEs) and other key response stakeholders, remove redundancy in the content library and ensure content is clean, proposal ready, and commercially viable.
  • Manage and define expiry dates for the initial content load (typically 6-12 months)
  • Making sure tagging is accurate and redundancy eliminated for initial content load.
  • Ensuring client names or details in content are removed that could be submitted to a different client.
 
Tool Utilization and Analytics:
  • Support the creation and documentation of training material on guidelines and best practices to create content, to ensure consistency and best practices are followed (includes onboarding training)
  • Act as the solution key user for the system during initial launch to provide expertise, support, and guidance to other users within the organization as needed.
  • Manage the initial system launch for user accounts, including setting up new users, changing user permissions, removing old users, and ensuring proper access levels are maintained for quality and compliance.
  • Support the creation and creation of key KPIs, create and maintain a dashboard for analytics and insights to improve content quality, accuracy, and tool utilization.
 
What you’ll need to be successful
  • Bachelor degree, College Diploma or equivalent experience 3-5 years
  • Passion for collaboration and relationship building.
  • Strong analytical sense with problem solving.
  • Excellent organizational skills and proficiency in document management is an asset.
  • Excellent communication skills in English and French; verbal and written.
  • Proficient use of Excel
Project specifics –
  • The Government releases tenders
  • Reviewing the tenders is part of their KRA. Reviewing proposals, demands, and terms and looking at legal aspects.
  • RFPIO is the application used for response. This is a knowledge base, that will be used to create RFPs.
  • Need someone who can help build RFPs.
 
Must Haves-
  • Bilingual – English and French (French is a must)
  • Need excellent written and oral skills. (French is their first language)
  • Proficient in Excel.
