Job Description

Job Title: Buyer II
Duration: 4+ Months
Location: Plainsboro, NJ - Hybrid, expected to be onsite at least 3 days/week.
Schedule: Monday- Friday, slightly flexible within the hours of 8am-6pm
 
NOTE: This department is "all hands on deck" for the months of November and December. Candidates should be aware of the company’s Schedule (see below) and note that additional time during these months is unlikely to be approved.
Holidays:
Thanksgiving weekend -Thursday, November 28 -Friday, November 29.
Winter Holiday Break - Wednesday, December 25 – Tuesday, December 31 (worker can work during this week if they prefer as there is no PTO for this week)
 
Must Haves:
1) Excellent communication skills
2) experience in a high volume/fast-paced environment
3) MS Suite proficiency
4) Purchasing experience, preferably within the Pharma industry

The Position
The Associate – SES Operations will be responsible for providing support to Line of Business Stakeholders to review purchase requests and provide timely administration of contract requests where required. They will facilitate and decide on appropriate purchase channels for incoming requests including various purchasing activities. They will review purchase requests for compliance to the purchasing and contracting policy. Furthermore, they will provide guidance to Line of Business stakeholders on best way forward for requests and proactively ensure efficient completion. The Associate – SES Operations will liaise with Line of Business and stakeholders on bottlenecks during contract reviews, approvals and eSignature phases. They will proactively manage contracts through the contract life cycle - from initial creation of record through department reviews, approvals and eSignature in coordination with Legal to ensure attorney review, as needed in accordance with company’s policies and requirements. Overall, the Associate SES Operations will proactively identify and coordinate with the appropriate stakeholders concerning the processing of incoming requests.
 
Primary focus and responsibility will be to give an outstanding Stakeholder Experience by partnering and collaborating with Business Stakeholders, Legal and Procurement Category Managers during the sourcing, review, negotiation, and execution of various contracts and projects across multiple categories.
 
Relationships
Reports to the Senior Manager, SES Operations. Has extensive interaction with all Line of Business Stakeholder areas. Develops a deep and collaborative relationship with key stakeholders including Line of Business, Procurement, Finance, Legal, IT, Quality, Compliance and Product Safety.
 
Essential Functions
• Accountable for proactively identifying the most appropriate path for a given transaction (purchasing channel) while balancing the procurement, legal and reviewing department needs.
• Conduct purchasing activities for low-risk commodities.
• Support contract process and management activities and enforce organizational principles of integrity and compliance.
• Collaborate with Line of Business, Category Managers and reviewing departments (e.g. Data Privacy, Safety, Quality, Risk, Tax, Regulatory, Legal, etc.) to ensure efficient handling of requests.
• Provide timely support to inquiries relating to contracts and assist with training users on recurring issues.
• Engage internal stakeholders in negotiation decisions and incorporate into contracts including all input received from various internal departments, SMEs, and stakeholders.
• Monitor progress of contract to ensure turnaround time is within prescribed SLA guideline; and provide Contract Owner with timely updates; follow up with stakeholder when contract remains stagnant during review or approval stage.
• Maintain deadlines on deliverables and proactive communication of contract status to Lines of Business Stakeholders, Procurement, and other internal clients / stakeholders.
 
Qualifications
• Bachelor’s degree or equivalent preferred. Relevant work experience may be substituted where appropriate.
• 3 years of demonstrated purchasing or buying experience.
• Experience in the Pharmaceutical industry with focus on Contract processes and procedures is preferred.
• Effective time management skill
• Demonstrated ability to multi-task in a fast-paced environment.
• Excellent interpersonal/communication kills
• Familiarity with Coupa or other purchasing/contracting tools, SAP and DocuSign is preferred.
• Proficient knowledge of Microsoft Office suite, i.e., Word, Excel, Power Point and Teams
• Adept at troubleshooting user problems; supportive and cooperative with users
• Ability to perform essential functions of the job, with or without accommodation, using combination of skills, knowledge and abilities.
