Job Title: Administrative Support Career Level
Duration: 6 months
Worksite: Remote | Monday – Friday | 8:00 AM - 5:00 PM

Responsibilities:
As an Engineering Assistant, you will be assisting the piping engineering and design leads and their project teams with administrative engineering tasks that include: maintaining the piping design deliverable and issuance schedules, tracking design reviews sign-offs, reviewing design package checklists for completion, and assist with onboarding and off-boarding design staff with the project team. You will be responsible for document control at the piping discipline level across multiple projects, interfacing with the overall engineering discipline lead and sub-leads, organizing administrative data, organizing engineering data, interfacing with the project level document control, design automation group and the discipline department managers.
Other duties and responsibilities include but are not limited to the following:
  • Taking meeting notes at discipline organizational meetings.
  • Maintain revision control of discipline tools such as equipment lists, calculations and schedules.
  • Coordinating with the Piping LDM and piping discipline leads to plan the onboarding and offboarding of staff to the project team.
  • Coordinate with the project document control team for the submission of package supporting documents and checklists for each design package submittal.
  • Track design changes
  • Collaborate with other engineering disciplines (engineering teams) to share data
  • Understand and apply both client’s safety standards in all work activities, ensuring alignment with project requirements and safe execution practices.
  • Actively collaborate with members of the project task force, client personnel, and department teams to support effective coordination and timely delivery of work.
  • Establish and maintain professional working relationships with key client and project stakeholders to support clear communication and efficient execution. Understand project objectives, deliverable expectations, and team priorities, and proactively work to support successful outcomes.
  • Meet commitments made to the design team by completing work on schedule and within agreed effort hours, while communicating risks or delays early.
  • Identify opportunities to improve coordination, reduce schedule impacts, streamline work processes, and enhance overall project efficiency.
  • Track piping deliverable status across projects including models, drawings, and support-related deliverables.
  • Support issuance planning and coordination for piping deliverables based on the deliverable issuance purpose (IFR, IFC, etc…)
  • Assist in maintaining piping progress tracking tools, logs, and reporting dashboards.
  • Coordinate information flow between piping, other engineering disciplines, and project management teams.
  • Support communication of priorities, deliverable status, and key updates within and outside the piping group.

Qualifications:
Here’s What You’ll Need:
  • Knowledge of document control processes
  • Knowledge and application of company engineering design and document standards
  • Familiarity with project delivery methods that are typical for Architectural/Engineering lead designs
  • Able to organize data
  • Excellent communication skills.
  • Project, engineering, or document control background supporting technical projects
  • Knowledge and understanding of work / information flow between disciplines
  • Knowledge and understanding of schedule constraints and information requirements to produce deliverables
  • Able to accurately estimate completion of assigned tasks
  • 2-year technical degree or 4-year non-technical degree
  • This position requires a minimum 3-5 years of demonstrated experience supporting engineering or project delivery environments
  • Proficient in Microsoft Outlook, Word, Excel and OneNote
  • Good listening, writing and communication skills
  • Good presentation skills
