Job Description

Job Title: Administrative Support
Location: St Paul, MN 55102
Duration: 2 Months (Possibility of extension depending upon business requirements and performance)
Shift: Standard Office Hours – 8 to 4 pm
 
Must Have:
  • Handle correspondence, emails, and communications on behalf of the executive.
  • Manage the executive’s calendar, schedule meetings, and plan travel.
  • Prepare executive-level materials, presentations, and reports to support key discussions and decision-making.
  • Above all else, manager needs someone with strong Outlook calendaring proficiency and travel arrangements experience (preferably on Concur).
 
These are the standard responsibilities:
  • Manage the executive’s calendar, schedule meetings, and plan travel.
  • Handle correspondence, emails, and communications on behalf of the executive.
  • Prepare and organize meeting materials, take notes, and follow up on action items.
  • Prepare executive-level materials, presentations, and reports to support key discussions and decision-making.
  • Draft and disseminate high-level communications on behalf of the executive
  • Organize and support leadership meetings, team events, and offsite engagements, ensuring all logistics are handled with precision.
  • Interdepartmental Coordination:
  • Act as a trusted liaison between executives, cross-functional teams, and other executive assistants to foster collaboration and alignment.
  • Filter and prioritize information shared with the executive to ensure they remain informed and focused on key issues.
  • Maintain sensitive records and handle confidential information with discretion and professionalism.
