POSITION SUMMARY
This Executive Assistant position will provide comprehensive administrative support to three Executive Officers. This individual must effectively work with Senior Executives, their Executive Assistants, team members within and outside the department, employees throughout the company, as well as with external business partners and contacts. This position is based in the New York City office on a 3/2 Hybrid Schedule.
This position requires excellent organizational and communication skills, strong attention to detail, the ability to multitask and meet demanding deadlines, being flexible as priorities change, and having discretion in handling confidential information. The person in this position will work in a fast-paced environment supporting multiple team members and handling various requests simultaneously. The ideal candidate is proactive, engaging, organized, and a team player.
PRIMARY RESPONSIBILITIES: • Manage calendar and daily priorities for executives, including heavy calendar/meetings coordination • Handle all aspects of administrative support in a timely and professional manner • Handle travel arrangements and travel expense reports • Answer, direct, and screen telephone inquiries and meeting requests • Plan and coordinate meetings, conferences, and conference calls (both on-site and off-site), with high attention to detail and follow up • Coordinate all meeting materials for executives • Liaise within the department, across the organization and with external partners, including other Executive Assistants • Maintain supplies and handle other administrative duties as assigned • Greet executives’ guests and escort them to and from meetings • Review and/or revise memos, letters, presentations and reports on behalf of executives • Provide back-up administrative support for other Executive Assistants within Risk Management to ensure coverage during business hours
Required Qualifications: • 5 years administrative experience supporting a senior level executive in a corporate environment • Bachelor’s Degree preferred • Detail oriented with strong follow-up and organizational skills • Motivated, self-starter who can anticipate and proactively address issues • Ability to multi-task and set priorities; flexibility in a fast-paced corporate environment • High level of professionalism with strong interpersonal skills • Demonstrates initiative, exercises good judgment, and makes appropriate decisions • Excellent written and verbal communication skills • Team player and department ambassador • Demonstrates solid problem-solving skills • Polished and professional always • Dependable and flexible, willing to respond to occasional high priority items after business hours • Ability to maintain confidentiality and accuracy of data • Proficiency with Microsoft Word, PowerPoint, and Outlook
